Job Description

Our growing Toronto client is looking for a proven Executive Administrative Assistant to join their team. The ideal candidate will have a minimum of 10 years related experience preferably within a publicly traded company. You will support the CEO and CFO of a large Healthcare organization. The following are the responsibilities:
Reporting directly to the CEO, the Sr. Executive Assistant is responsible for providing corporate and personal level support to the CEO; being proactive in anticipating the requirements of all job functions and communicating with CEO and other team members; implementing systems and procedures to deal with scheduled and adhoc workflow; being highly organized, self
Key Responsibilities:
> Provide high-level confidential administrative support to CEO
> Manage and maintain CEO's schedule, appointments and travel arrangements. This is crucial in this role.
> Arrange & coordinate meetings/events (Board retreats, management dinners, etc.)
> Coordinate materials and communications for the trustees and board
> Screen CEO's emails and professionally compose replies/correspondence on behalf of the CEO when required
> Approve and release wire payments on behalf of the CEO
> Prepare reports, presentations, and memos when required
> Prepare the CEO's monthly expense summary - Personal and Business related expenses
> Liaise with Internal Departments such as Accounting to ensure that they have all information they need pertaining to CEO
> Prepare travel related expense reports for other members of senior management & occasional Board of Trustee members
> Manage all CEO's memberships & subscriptions and their renewals / payments > Maintain both paper and extensive electronic filing system (Outlook and other) > Enter all new business card information into Outlook contacts lists
> Maintain staff/employee files in CEO's office
> Maintain order in CEO's office
> Maintain Petty Cash on a monthly basis or when needed
> Liaise with internal staff at all levels on behalf of the CEO when required
> Other duties as assigned Knowledge,
Skills and Experience Required:
> 8-10 years of Executive Level support, preferably C-Suite
> Excellent written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients
> Superior customer service and interpersonal skills
> Professional and pleasant demeanour, with a good work ethic
> Proficiency in MS Office - Word, Excel, PowerPoint, Outlook
> Organized and attentive to detail
> Ability to handle a variety of tasks and prioritize workload
> Strong adherence to confidentiality
PLEASE NOTE THIS IS IN OFFICE 5 DAYS A WEEK
Salary 120K-130K plus bonus and benefits
