We're growing!! And looking for passionate, driven and energetic candidates to join our team for the position of Executive Administrative Assistant to our Chief Sustainability Officer located in our Head Office in Guelph, Ontario.

We are searching for a thorough, detail oriented and highly proficient Executive Administrative Assistant to join our company and make their mark in a fast-paced, professional and fun environment. The successful Executive Administrative Assistant will act with the utmost confidentiality when organizing, coordinating and providing administrative support to the CSO while maintaining our shared goal of creating meaningful value and an exceptional experience for our customers, our people and our communities. This includes acting as the first point of contact for the CSO as well as cultivating and managing key relationships both internal and external with integrity and diplomacy.

What you will be doing:

  • While maintaining a high level of confidentiality and integrity, co-ordinate the CSO's business and personal schedule, appointments, reservations and travel arrangements.
  • Compile daily priority files and reviews key issues, action items, pending deadlines, briefing notes, reading materials and meeting preparations with the CSO.
  • Work with internal departments (marketing, HR, IT) as well as other Skyline entities and CSO related entities to get updates on the organization to complete meeting minutes, project timelines, etc.
  • Organize meetings involving multiple senior executives.
  • Plan, organize and co-ordinate functions and special events for the CSO and assist the office administration team when required.
  • Conserve CSO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Arrange and execute special requests, personal errands and related duties as required.

  • Proven track record in project management practices and can overcome issues by using your magical organizational skills.
  • An ability to problem solve and plan effectively.
  • Ability to keep tasks on track and on schedule (a.k.a. excellence in planning schedules and implementing events).
  • Understanding of financial and business acumen and ability to maintain a high level of accuracy and confidentiality concerning financial and business files.
  • Professionalism - it means so many things, but to us its about taking pride in the quality of service we provide to our customers inside and outside the organization.
  • Minimum two years post-secondary education and five years equivalent office administrative workplace experience OR eight years of progressive relevant workplace experience.
  • High School Diploma or equivalent required.
