We're on the hunt for a super-organized, proactive, people-smart Executive Assistant to support a creative founder with a full plate (think: business ventures, a foundation, a wellness company, and a vibrant family life). This isn't your average 9-5 -- it's part strategy, part logistics, part life-manager, part "make everything smoother" wizard. What You'll Actually Do
Personal & Family Life Wrangling
Book travel, holidays, dinners, and date nights
Manage calendars for three small humans (birthdays included)
Coordinate household vendors, appointments, and gift buying
Plan seasonal events and celebrations
Executive Assistant Magic
Turn big ideas into clear tasks and timelines
Own the calendar like your life depends on it (because kinda, it does)
Prep for meetings: agendas, notes, follow-ups
Draft emails, reports, proposals -- no typos allowed
Keep files organized and compliance on track
Projects, Creative Ops & Partnerships
Track projects, budgets, and deadlines like a pro
Research markets, vendors, and trends
Support marketing team with inspiration boards + branding assets
Schedule donor meetings, keep CRM up-to-date, close loops
Coordinate with creatives: designers, agencies, photographers
What We're Looking For
Education:
Completion of a 3-4-year diploma or degree in administrative studies, business, or a related field
OR equivalent professional training with proven excellence in executive support
Experience: Skills:
Minimum 5 years of experience in a high-level Executive Assistant, Chief of Staff, or senior admin role
Experience juggling multiple calendars, projects, and personalities
Comfort working in fast-paced, high-trust environments
