About the role
As ATB's next Event specialist, you are highly organized, personable and detail-oriented with exceptional time management and administrative skills. You will play a crucial part in the success of our various events by providing comprehensive logistical support, collaborating with stakeholders, and ensuring seamless event execution from start to finish. This includes managing attendee registration, supporting onsite event logistics, and contributing to event documentation. You thrive in a fast-paced, multitasking environment and take pride in completing tasks accurately and efficiently.

Accountabilities
Event Leadership & Logistics:
+ Quarterback events in partnership with business leaders, including developing and maintaining run sheets, event briefs and other documentation
+ Research and select vendors, negotiating contracts and securing services.
+ Manage vendor payments and invoices, ensuring timely processing.
+ Maintain and manage event inventory, including distribution to team members.
+ Coordinate all shipping and deliveries related to events.
+ Develop and maintain comprehensive event timelines and run sheets.
+ Create and update slide decks for event meetings.
Calendar Management:
+ Keep the events calendar up to date with all event details.
+ Maintain calendars, the master event calendar, and the event playbook.
+ Communicate new events to business coordinators effectively.
Volunteer Coordination:
+ Recruit volunteers for events as needed.
+ Create volunteer briefing materials to ensure smooth onboarding.
Marketing and Communications:
+ Develop marketing and communications materials for event promotion and submit to Compliance for approval.
+ Create event invitations.
+ Submit event details to Corporate Insurance for coverage.
Stakeholder Collaboration:
+ Liaise with internal and external partners, including business coordinators, vendors.
+ Build and maintain relationships with internal and external stakeholders.
Registration and Attendee Management:
+ Create and implement a standardized process for managing invite lists, RSVP tracking, and best practices for registration.
+ Manage attendee registration lists and work with internal stakeholders to meet attendance targets.
+ Prepare name tags, attendee lists, and event materials.
+ Track attendees and create post-event reports on attendance, no-shows, and cancellations.
Event Documentation:
+ Develop and update event briefs and other event documentation.
+ Create and maintain critical paths and production schedules.
+ Create surveys and gather feedback for post-event reports.
+ Develop and document post-event reports.
Onsite Event Management:
+ Provide onsite support at events, assisting with setup, registration, and any immediate logistical needs.
+ Travel for in-person events will be required
Data Management and Analysis
+ Source and organize large amounts of data, including client lists, attendee information, and event performance metrics
+ Utilize existing internal systems and event management software to track registrations, manage attendee data, and generate insightful reports.
+ Leverage event management platforms (e.g. Hubspot, Cvent, Eventbrite) to streamline registration, communication, and event execution.
+ Stay abreast of emerging event technologies and recommend innovative solutions to enhance event experiences.
Skills, experience & requirements
Proven experience as an Event Specialist or similar role.
Strong organizational and time management skills with the ability to multitask effectively.
Excellent communication and interpersonal skills.
Proficiency in Google Workspace (Sheets, Docs, Slides)
Advanced Excel and Sheets skills (i.e. data validation, pivot tables, conditional formatting, macros, filters. Advanced charting)
Experience with event management software (e.g. Hubspot)
Ability to work independently and as part of a team.
A keen eye for detail and a passion for delivering exceptional events.
Familiarity with compliance and insurance procedures for events.
