Our Sales & Event Coordinators play a key role in bringing our clients' visions to life. From crafting proposals and securing bookings to coordinating every detail, you'll help our hotels and restaurants flawlessly execute meetings, weddings, corporate functions, and social events.



What You'll Do:



Prepare and manage all event documentation, including contracts, room blocks, charge routing, BEOs, and templates Coordinate details for high-end group meetings, corporate events, and special occasions Communicate effectively with clients via phone, email, and virtual meetings Conduct site inspections and meet with clients on location Attend quarterly Business Events meetings with Banff Lake Louise Tourism Follow up on event inquiries and guide clients through the sales and booking process Maintain accurate group rooming lists and ensure smooth communication between departments Support the sales team with room, event space, and food & beverage sales Keep sales kits and online listings (e.g., Hotelplanner.com, WeddingWire) up to date Prepare group invoices and manage key group accounts Collaborate with corporate clients and wholesalers on rates, availability, and contracts Take on additional tasks and projects as needed

What You Bring:



Minimum 2 years of experience in a similar role (hospitality or events preferred) Professional, accountable, and adaptable, with strong follow-through Proven ability to support or guide a small coordination team Outgoing personality with a passion for delivering exceptional customer service Excellent communication and time-management skills in a fast-paced environment Proficiency with MS Office, Maestro (or similar PMS), and event diagramming tools such as Social Tables Experience preparing quotes and responding to RFPs Strong organizational skills and attention to detail Positive attitude and sense of humor -- even under pressure Ability to multitask and work independently as well as collaboratively Flexible availability: primarily Monday-Friday, with some weekends, holidays, and travel (e.g., trade or bridal shows)
