Starting Salary: $74,890 - $85,350, per year based on experience. Salary Range Max $90,580 [2023 Rates]

The Role

The Event Manager is responsible for supervising and overseeing the planning, design, production, promotion, overall co-ordination, execution, and profitability of The M\xc3\xa9tis Nation of Ontario events. The Event Manager will delegate tasks as required and provide support to supplementary staff. This individual will organize all of the M\xc3\xa9tis Nation of Ontario events, from sourcing venues to liaising with entertainers, speakers and exhibitors, negotiating contracts, and overseeing The M\xc3\xa9tis Nation of Ontario events on site. Other duties include, but are not limited to event registration, reviewing and arranging proper accommodation, transportation, catering, signage, arranging promotional materials, procurement and security. The Event Manager will also establish and monitor event budgets. Other duties will be assigned as necessary.

Duties include, but are not limited to:
  • Oversee the coordination of a variety of events including conferences, seminars, corporate dinners, entertainment, training and community events.
  • Manage the internal communications events program.
  • Assisting in the sourcing venues for all events.
  • Management of external suppliers.
  • Administer event budget and ensure it is maximized for the events.
  • Organize and lead the M\xc3\xa9tis Nation of Ontario Events team, both in the run-up, on-site and post-events.
  • Source and negotiate with venues and contractors, obtain quotes and conduct site visits.
  • Liaise with event contractors, including exhibition builders, caterers.
  • Liaise with and handle arrangements for speakers, entertainers, exhibitors and delegates.
  • Maintain detailed and accurate event files, e.g. exhibitor databases, recording contacts and financial information.
  • Liaise with conference delegates and exhibitors from the time that they commit to attending, throughout the lead up and during the event.
  • Assist the M\xc3\xa9tis Nation of Ontario Finance Manager with events related invoicing and credit control.
  • Co-ordinate delivery of The M\xc3\xa9tis Nation of Ontario materials to events, internal and external.
  • Periodically provide administrative support to other members of staff, under the advice and approval of the people leader.
  • Determine parameters, policies and procedures of events plan.
  • Develop and implement a marketing plan.
  • Supervise the development and production of promotional materials and presentations.
  • Develop a risk management plan.
  • Solicit event donors, sponsors and participation by merchants.
  • Oversee the financial management of events.
  • Assess full reports on events organized which include obstacles and opportunities encountered.
  • Provide advice or training to support council events
  • Perform other duties as necessary.
Qualifications
  • Strong desire to act in the service of the M\xc3\xa9tis Citizens, to advance and uphold rights and culture
  • High School Diploma, G.E.D. or equivalent.
  • Diploma or degree in business, marketing, communication, public relations, tourism or hospitality or combination of education and work experience.
  • National Occupational Certification as an Events Manager is an asset.
  • Minimum 3-5 years\' experience in organizing and coordinating large events, conferences and exhibitions.
  • Minimum 2 years of financial management skills.
  • Strong Event Management experience, particularly in organizing conferences.
  • Strong communication skills both verbal and written.
  • Strong budget management skills.
  • MS Office proficient.
  • Efficient, consistent team player.
  • Innovative problem solving skills.
  • Excellent time management skills.
  • Marketing and promotional skills.
  • An out-going, people-oriented personality.
  • 3-5 years\' experience in a busy office environment.
  • Experience with project management.

  • Ability to take on responsibility and use initiative to prioritize and work effectively, under pressure and to tight deadlines.

  • Fundraising experience an asset.
  • Knowledge of the local industry and area an asset.
