The Opportunity

We're seeking a creative, organized, and energetic Events Coordinator to join our dynamic team!

Reporting to the Manager, Events and Sponsorship, this role is responsible for intermediate professional and administrative work handling a variety of tasks, including but not limited to managing and supporting events administratively through to execution. You'll play a key role in bringing VRCA's events to life -- from concept and registration to on-site execution and post-event follow-up. In this role, you will support marketing & communications and member services as well as operational activities as required. You'll help deliver seamless experiences that connect members, elevate engagement, and celebrate the best of the construction industry.

What You'll Do



Event Coordination & Execution



Support the Events & Sponsorship department with the planning, logistics, and delivery of all VRCA events -- from networking and membership events to educational and advocacy programs. Coordinate event logistics including venues, catering, AV, decor, setup, and teardown. Lead planning and support for events such as Member Mixers and Member Meet-Ups. Create and design event materials such as name badges, signage, tent cards, and programs. Support on-site event operations -- from registration to post-event wrap-up -- ensuring every detail runs smoothly. Assist with budgeting, expense tracking, and vendor coordination. Collaborate with internal and external stakeholders to ensure all event components are aligned.

Sponsorship Outreach and Processing



Maintain accurate event, registration, and sponsorship data in the association's AMS (Association Management System). Ensure data integrity and accuracy across all records. Track event registrations and participation and generate reports and analytics on attendance and feedback. Provide timely, professional support to members, sponsors, and guests with event-related inquiries. Build and manage event registration pages on the VRCA website.

Database & Member Support

Provide timely, professional support to members, sponsors, and guests with event-related inquiries.

Creative Collaboration



Bring new ideas to enhance event themes, designs, and experiences. Contribute to brainstorming sessions for event branding, decor, and programming concepts.

What You Bring



Post-secondary education in Event Management, Marketing, Communications, or a related field. At least 3 years of event coordination or marketing experience (association or nonprofit experience an asset). Exceptional organizational and time management skills -- you can juggle multiple projects and deadlines with ease. High emotional intelligence and calm presence in high-pressure environments. Strong communication and interpersonal skills, with a customer-first mindset. Basic design skills (Canva, Adobe Express, or similar). Tech-savvy with experience in event registration or database systems. A creative eye for detail, flexibility under pressure, and enthusiasm for teamwork. Willingness to work flexible hours, including early mornings or evenings during events.

General



Although office hours are 8am to 4pm, applicants must have the flexibility to start early or leave later as required Work is performed in a professional office environment Valid and clean BC Driving License and access to a vehicle is essential

Via an ever-evolving suite of programs and services, we support union and non-union general and trade contractors, manufacturers, suppliers and professional services providers, who operate in the multi-billion dollar industrial, commercial and institutional construction industry throughout the Lower Mainland.

Our office is centrally located at 3636 East 4th Avenue, Vancouver, near the corner of Lougheed Highway and Boundary Road.
