Position Overview
The Events Coordinator is responsible for the planning, coordination, and execution of all events and room bookings at the BMO Centre. This role ensures seamless event operations, from initial inquiry through to completion, while maintaining a high level of customer satisfaction. The Events Coordinator will also manage catering arrangements and collaborate with internal teams to deliver outstanding experiences for all clients and guests.
Key Responsibilities
Manage all event and room booking inquiries, including scheduling, confirmations, and contracts.
Coordinate event details with clients, including setup requirements, equipment needs, and event timelines.
Arrange catering services and liaise with vendors to ensure accurate and timely delivery.
Prepare detailed event orders and communicate requirements to facility staff and management.
Ensure all events are properly staffed and supported with the necessary resources.
Maintain an organized booking calendar and track event-related documentation.
Provide on-site event support to ensure smooth execution and resolve any issues promptly.
Develop and maintain strong relationships with clients, vendors, and community partners.
Assist in promoting facility services, events, and programs to maximize bookings and revenue.
Monitor event budgets and assist with invoicing and payment processing.
Ensure compliance with facility policies, health and safety regulations, and service standards.
Provide post-event follow-up with clients for feedback and relationship development.
Qualifications
Post-secondary education in Event Management, Hospitality, or a related field preferred.
2+ years of experience in event coordination, hospitality, or customer service.
Strong organizational skills with the ability to manage multiple events simultaneously.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite and event management software (or willingness to learn).
Ability to work evenings and weekends as required by event schedules.
Strong problem-solving skills and attention to detail.
Knowledge of catering coordination and vendor management is an asset.

Pay: $20.00-$25.00 per hour
