Ottawa Hospital and Region Imaging Associates (OHRIA) POSITION TITLE: Events, Communications and Stakeholder Relations Coordinator IMMEDIATE SUPERVISORS\xe2\x80\x99 TITLE: Chair, Department of Radiology (DoR) & Continuing Medical Education (CME) Director DIRECT REPORTS: This position oversees the Educational Administrative Assistant SALARY RANGE: $27.49 to $32.38 STATUS: Full-time Contract (15 Months, Maternity leave) JOB DESCRIPTION
The Coordinator, Events, Communications and Stakeholder Relations plans, markets, and coordinates professional and social events for the Department of Radiology, Radiation Oncology and Medical Physics University of Ottawa continuing medical education (CME) and Visiting Professor programs. This position coordinates internal and external communications and manages and expands stakeholder relations. DUTIES AND RESPONSIBILITIES
  • Oversee all aspects of CME events and courses. This includes but is not limited to
  • Manage registrations, submitting and overseeing accreditation applications to completion
  • Develop educational materials and syllabuses for online and in-person attendees in conjunction with the Chair and CME Director
  • Correspond with speakers and facilitators to provide necessary materials such as disclosure forms and hand-out materials
  • Provide on-site and / or virtual coordination of all event logistics including assistance with virtual delivery platforms and onsite venues
  • Arrange collection and collation of speaker and event evaluations, editing and repurposing course materials for new course creation
  • Conduct environmental survey of Medical Imaging CME programs
  • Manage and report events related finances, engaging in strategic planning of future courses, etc.
  • Procurement of services and/or supplies to support program activities
  • Participate in and provides administrative support to the CME steering committee by scheduling meetings, creating agendas and minutes, etc
  • Coordinate internal and external communications for the Department of Radiology. Manage, maintain, and update departmental websites, social media accounts and digital platforms. This includes but is not limited to creating digital marketing products and social media content.
  • Assist Chair with Departmental communications and stakeholder relations
  • Coordinate the Visiting Professor (VP) Program
  • Assume additional CME responsibilities as directed by the Head/Chair and CME Director
QUALIFICATIONS Education:
  • Diploma or Degree in Event Management or equivalent
  • Certification in marketing and/or social media considered an asset
Experience:
  • At least 3 years of event management and/or coordination experience, including promotion of events using social media
  • 2+ years as a supervisor
  • 2+ years of experience managing a budget
  • Experience using all major social media platforms for business
Knowledge:
  • Knowledge of hospital/department policies, rules and regulations; knowledge of university structure, policies; knowledge of radiologists\xe2\x80\x99 partnership organization OHRIA
  • Formal experience in stakeholder negotiations and contracts
Soft Skills:
  • Above average English fluency in reading, writing and speaking
  • Excellent organization skills and attention to detail
  • Ability to multitask and handle multiple types of responsibilities
  • Ability to organize and prioritize work assignments effectively and efficiently
  • Ability to work independently or as part of a team
  • Works well in a self-directed environment
  • Exceptional interpersonal and client service skills
Technical Skills:
  • Formal experience using event management portals which are designed to support virtual, hybrid and OnDemand courses and conferences such as EventsAir by Centium Software
  • Familiarity with PCs and associated software products including Windows and MS Office, e.g.: Word (advanced), Teams (advanced), Outlook (advanced), Excel (intermediate), PowerPoint (intermediate), SharePoint (basic), OneDrive (basic).
  • Zoom (intermediate), Canva (Basic), Brightspace (basic)
WORKING CONDITIONS
  • Typically, Monday to Friday, 8 hours daily, during regular business hours. Flexibility to work evening and weekend shifts required.
  • Vaccination against COVID-19 is a condition of employment for this position.
  • Travel between Civic and General campuses may be required.
  • The incumbent\xe2\x80\x99s office is located at The Ottawa Hospital, General Campus.
  • Working indoors in an office environment, requires frequent use of computer and standard office equipment.
  • Capable of lifting parcels and equipment, up to 20 pounds
