Event Planning Administrator / Customer Experience Assistant Part Time

Our Client, one of North America\'s leading energy infrastructure companies with operations in natural gas, oil and power industries throughout Canada, the United States, and Mexico has an immediate need for an Event Planning / Customer Experience Assistant This is a contract position for nine (9) months located in Calgary, Alberta. Candidate will work 3 Days a week to start and based on business requirements likely increase to 5 Days a week.

Description

The Event Planning / Customer Experience Assistant in this role will support Customer Experience Business Unit with planning corporate events.

Accountabilities

  • Provide administrative planning and coordination of client events
  • Obtain quotes for venues and catering and then coordinate for events
  • Research and coordinate events for clients enrichment for events
  • Handle sensitive and confidential information in a timely and professional manner.
  • Develop, prepare, and analyze event contracts, budgets, and create reports.
  • Research event venues and customer activity options for different events.
  • Create event proposals for Leadership.
  • Coordinate across teams, to initiate and finalize customer invite lists.
  • Develop and create event invitations and other image designs.
  • On site event support when needed; may require some travel to local venues.
Required
  • 2-3 years of experience with event planning in an administrative role
  • Post-Secondary Education (optional)
  • Experience researching venues and activities for events
  • Experience with obtaining quotes for venues and quotes for catering
  • Experience coordinating meetings, planning events for clients
  • Experience with developing, preparing, and analyzing event contracts, budgets, and reports
  • Advanced computer skills including: MS Outlook, Word, Excel, PowerPoint, SAP, SharePoint, MS Teams and Visio
  • Experience with CRM\'s (nice to have)
  • Experience with Adobe and Clip Art to design save the date or invitations
  • Adaptable and can manage complex problems using sound judgment.
  • Excellent communication skills, both written and verbal, with the capability to manage information, data and correspondence on multiple levels
  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
Additional Information
  • May require some evening work on event days this will be local downtown Calgary area.
