MacEwan University is seeking an Event Planner II for a full-time continuing opportunity with our Conference and Event Services department. You will manage standard events and be assigned to more complex events that involve MacEwan executives or elected officials, media, organizing committees and other stakeholders. This position analyzes client, event and performance requirements, prepares event quotes, advises the client on MacEwan services, negotiates the contract, creates/manages the event plan and critical path, and works collaboratively with clients and MacEwan service providers to ensure successful events and financial viability of the operation.


Key responsibilities include:

Acting as the client's MacEwan contact for internal bookings and external rentals from initial inquiry through to final invoicing and following up after the event for own portfolio of events; Interpreting client and event requirements and identifying MacEwan space, services and technical requirements required to complete the event in consultation with clients and based on event budget; Communicating event requirements to all services providers to ensure successful execution of all events and performances; Providing on-site event support and assistance to clients and guests, ensuring all services and equipment are in place and by resolving or troubleshooting any on-site issues that may arise prior to or during the event or performance; Supporting all university faculties and departments with community engagement and partnership proposals or activities being proposed for or held in the university's spaces and externally; Preparing comprehensive and competitive proposals and bids, and negotiating, securing and managing client contracts; Providing prospective client tours; Building and maintaining strong relationships with university services areas, staff and external suppliers to ensure successful events and client retention; and Assisting the manager and supervisors with projects, research and statistics collection analyzing our business or service options.

QUALIFICATIONS



A minimum of a post-secondary diploma in a related field such as event planning, hospitality services, arts or cultural administration. A minimum of 3 years of experience in event management with medium-to-large-scale events with diverse group of clientele. Experience with data entry and using Microsoft Word and Excel. An equivalent combination of education and experience may be considered.

The ability to work flexible and varied hours depending on event requirements which could be evenings, weekends, expanded daily hours.
