Reporting to the Executive Director, Marketing & Communications, the Event Lead is responsible for event planning and coordinating events and brand experiences across the university including large-scale institutional events such as the annual Graduate Exhibition.

Summary of Responsibilities:

  • Project manage and lead execution of major institutional events including the university\xe2\x80\x99s five-day annual Graduate Exhibition which normally attracts 40,000+ visitors
  • In collaboration with the Advancement department, lead the planning and executing of fundraising events
  • Hire and supervise up to 40+ part-time student support staff as well as technical staff such as special exhibition curators
  • Actively engage key internal academic and administrative stakeholders to effectively plan and program signature institutional events
  • Develop work back schedules and dependencies, aligning all project stakeholders on targeted time and budget deliverables
  • Oversee all arrangements for event programming, including venues, production, catering, entertainment, d\xc3\xa9cor, alcohol permits, and vendor contracts
  • Organize and implement branding strategies for events including working with Creative Services to ensure sufficient signage and collateral at events
  • Liaise with Safety, Security & Campus Operations, IT Services and other stakeholder departments with respect to event planning and logistics
  • Prepare and oversee project budgets against institutional priorities, including issuing purchase orders and RFQs as required and coordinating payment of related accounts through the Finance Office
  • At the conclusion of key institutional events, conduct evaluations and prepare final reports
  • Manage vendor relationships to ensure quality, budget, and delivery timing objectives are met
  • Ensure systems and processes are in place to provide a superior experience to both internal and external stakeholders, including participants, attendees, suppliers, sponsors and staff
  • Oversee the university\xe2\x80\x99s event listings to ensure alignment on promotion
  • Support and advise on strategies and systems for external event space rentals on campus
  • Other tasks as required, to support the function of the Marketing & Communications office
Qualifications:
  • Post-secondary degree in marketing, communications or equivalent
  • Minimum of four (4) years of experience in large-scale events management and communications, preferably within the arts and cultural or educational sector, and familiarity with the Toronto art and design communities
  • Demonstrated strategic planning, project management, and organizational skills with tenacity and attention to detail
  • Experience managing and tracking budgets
  • Excellent oral and written communication and interpersonal skills in working with staff and external stakeholders
  • Experience with hiring, supervising, and training employees, including organizing, prioritizing, and scheduling work assignments
  • Demonstrated ability to prioritize competing demands, meet deadlines and participate collaboratively in a team environment as well as manage complex and high-stress situations that present brand reputational risk
  • Demonstrated commitment to the principles of diversity, equity and experience promoting a respectful work and learning environment for students, staff and faculty
  • Flexibility with work hours; must be willing and able to work evenings and weekends, as required
Compensation: OPSEU Unit 1, Appendix A, Grade 5; $34.64 to $45.53 per hour

Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until December 31, 2024
