Overview
BGC Fort McMurray is seeking an energetic and organized
Event Coordinator
to plan and deliver memorable community events and fundraisers. From booking venues to running on-site logistics, you'll take the lead in creating engaging experiences that bring people together while supporting local kids and families.
This is a hands-on, community-focused position--ideal for someone who enjoys planning, multitasking, and seeing their events come to life. Training is available for the right candidate, and experienced coordinators will have room to shape event strategy and operations.
Key Responsibilities
Event Planning & Coordination
Lead the planning and execution of monthly community and fundraising events (BBQs, markets, open houses, and themed celebrations).
Coordinate all event logistics: location booking, decor, catering, entertainment, and equipment setup.
Develop event checklists, timelines, and crew assignments to ensure smooth execution.
Supervise setup and teardown crews, ensuring safety and efficiency.
Maintain professional communication with vendors, sponsors, and internal teams.
Conduct site inspections to confirm setup requirements and compliance standards.
Marketing & Promotion
Coordinate marketing and promotion through social media, local radio, newspaper, and community listings.
Design and distribute event posters with QR codes and create online listings (Eventbrite, Zeffy, etc.).
Assist with photography and content sharing for post-event recaps.
Represent BGC Fort McMurray positively at all community events.
Revenue & Sales
Implement and track
ticket, merchandise, and product sales
, with pricing approved by the Executive Director.
Oversee
additional weekend revenue opportunities
such as birthday packages and event add-ons.
Support simple budget tracking, vendor quotes, and cost-effective planning.
Upsell event packages and experiences to enhance guest satisfaction and boost revenue.
Post-Event Activities
Collect participant contact information, sign-in sheets, and feedback.
Conduct after-event surveys and debriefs with the team for continuous improvement.
Prepare summary notes and recommendations for future events.
Qualifications
Diploma or certificate in Event Management, Communications, Hospitality, or related field (preferred).
1-3 years' experience in event coordination, hospitality, catering, or community engagement.
Strong organizational, multitasking, and communication skills.
Comfortable with hands-on setup and working in dynamic public settings.
Experience using social media and online event platforms.
Ability to lift up to 25 lbs and work flexible hours (evenings/weekends).

Pay: $21.00 per hour
Expected hours: 7.5 - 25 per week
