The Event Coordinator is responsible to assist in researching and presenting event ideas, conduct administrative tasks, maintain, and prepare event contracts, set up and manage event ticket sales, manage the events calendar, deliver event agenda and briefs, and support the events team.
Principal Duties and Responsibilities
Support the development of a healthy internal culture and enforce company values
Maintain a professional and positive demeanor
Possess expert knowledge of the amenities, casino promotions, and the Totem Rewards Club membership and its benefits
Showcase the events space to clients and help to determine their wants and needs in the absence of the Event Manager
Document and record customer conversations on designated platform
Research and present event ideas that align with the company's goals
Assist with event planning and details
Prepare contracts and ensure details are clearly stated
Generate profit and loss statements through the collection of financial details
Organize and maintain the database of events, contracts, and all associated files pertaining to events in a clear, organized, and timely manner within a Google Drive folder
Maintain the events calendar
Deliver event agenda and briefs to the casino team
Maintain a digital copy of event equipment
Prepare event literature, biographies, and content for publishing
Create and manage event ticket sales
Support the events team through getting involved in the setup, clean up, and services
Assume duties as a Event Supervisor when necessary
Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees
Adheres to Grey Rock Entertainment Centre internal controls, policies and procedures
Other duties as reasonable and assigned
Working Conditions
May be required to stand, sit or bend for extended periods of time
Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance
Must be available to work a rotating shift support the Casino hours of operations (holidays and weekend included)
Must be able to work in a fast-paced environment
Experience & Qualifications Required
Must be 19 years or over
Education in Event Planning or Hospitality preferred
Exceptional in customer service
A good head for business development
Strong organizational skills
Team-working skills
The ability to delegate and motivate others
The energy and enthusiasm to deal with difficult clients
The ability to work to deadlines and cope with the consequent pressure
Expert level Fluency in ENGLISH and FRENCH (written and spoken)
Ability to work effectively with large number of clients and providers
