Job Summary: We are seeking a highly organized and enthusiastic Entry-Level Event Assistant to join our Events team. This role is perfect for a recent graduate or someone looking to start their career in event planning and coordination. The Entry-Level Event Assistant will support the Event Manager in the planning, coordination, and execution of various events, ensuring a seamless and memorable experience for attendees.
Key Responsibilities:
Event Planning and Coordination:
Assist in the planning and coordination of events, including meetings, conferences, trade shows, and corporate events.
Support the Event Manager in developing event timelines, agendas, and checklists.
Vendor and Venue Liaison:
Communicate with vendors and venues to secure services and negotiate contracts.
Coordinate logistics such as catering, transportation, audio-visual equipment, and decorations.
Marketing and Promotion:
Assist in the creation and distribution of event marketing materials, including flyers, social media posts, and email campaigns.
Help manage event registration and attendee communications.
On-site Event Support:
Provide on-site support during events, including setting up, greeting attendees, and troubleshooting issues.
Assist with event teardown and post-event evaluations.
Administrative Support:
Maintain event databases and track event expenses.
Prepare and distribute event-related documents and reports.
Qualifications:
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Ability to work effectively in a team environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with event management software is a plus.
