The Opportunity

As a member of our Facilities (FACES) team, the Event & Meeting Coordinator arranges external customer and strategic partner meetings as well as internal functional team meetings and conferences. This team member will demonstrate a high degree of integrity and professional demeanour and assist with hosting events from start to finish. The role requires handling all aspects of events and meetings from planning and room design to executing food set up and cleanup. They will also collaborate extensively with the primary contacts for the events/meetings, as well as our in-house Chefs. The ideal candidate will bring a strong background in event planning and exceptional customer service skills, serving/waiting experience, and possess a Smart Serve Certification.

A snapshot of some of the exciting things you will lead and do:

  • Schedule planning meetings with customers and strategic partners supporting all Retail Sales, Marketing, and Food Service clientele.
  • Work with functional groups to support internal onsite meetings.
  • Lead space set-up efforts with assistance from the multiskilled Facilities (FACES) team.
  • Liaise with Chefs to ensure culinary menu requirements are fulfilled for all onsite events.
  • Provide onsite presence to host events and welcome guests upon arrival as well as attend to guest and host needs during events/meetings
  • Coordinate vendors based on event requirements and issue PO#s/etc., as well as place orders for rental equipment requirements (e.g., special linens, tents, stages, etc.).
  • Provide in-house waiting/serving to support onsite food and beverage service programs (including liquor/smart serve).
  • Maintain all meeting rooms throughout the building by ensuring the spaces are presentable/clean and equipment is tested/functioning (e.g., collect and return plates/cups, etc. to dish pit).
  • Coordinate various service requirements, including linens and laundry service.
  • Maintain asset inventory for overall event/kitchen areas and place orders to replenish supplies as needed including open kitchen /PD areas.

What you will bring:

  • 2+ years of relevant experience in event planning/coordination
  • Hotel & Restaurant industry experience/background
  • Demonstrated ability to maintain collaborative relationships with suppliers and internal stakeholders
  • Ability to work independently, multi-task and to prioritize work requests
  • Strong interpersonal and communication skills and comfort interacting with individuals at all levels
  • Well organized with attention to detail and ability to prioritize time sensitive activities
  • Confident, self-starter with high level of integrity, dependability, accountability, self-awareness, work ethic, and empathy.
  • Service-orientation and conflict management skills with ability to work calmly under pressure and with empathy,
  • Competency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Passion for building communities and connecting individuals
  • Highly motivated to learn and grow, both personally and professionally
