Role Overview



We're looking for a motivated and detail-oriented Estimating Coordinator to join our team. In this role, you'll drive accurate estimates, coordinate with internal teams and subcontractors, and ensure projects stay on track from concept to completion. Your work will directly support Avalon's commitment to quality, efficiency, and customer satisfaction.

Key Responsibilities



1. Quote Requests and Review

Create and maintain vendor lists in coordination with the Estimating Manager. Establish and maintain relationships with contractors and vendors through clear, professional communication. Create schedules for tendering projects and monitor timelines. Review quotes with the Estimating Manager and make recommendations to support successful bids. Maintain project-specific contact information.
2. Project Setup and Maintenance in iBuild/BuildBase

Set up projects in iBuild/BuildBase including Development, Blocks, and Units. Input baseline schedules into software in coordination with Construction Managers and Site Supervisors. Enter and update budget data across all cost areas. Material take-offs using software.
3. Budget Maintenance

Create final working budgets and maintain them throughout the project lifecycle. Review and update Price Book items regularly on a quarterly rotation. Reconcile differences between budgeted and actual costs. Identify opportunities for cost savings and cost efficiency. Negotiate with trades and suppliers to minimize cost overruns.
4. Purchase Orders Issued on Schedule

Request quotes according to the upcoming construction schedule. Release POs to trades in advance of anticipated schedule dates. Monitor iBuild/BuildBase for outstanding PO acceptance and follow up with trades/suppliers. Establish and maintain response time expectations with trades/suppliers.
5. Change Order Management - Manage CTC, Sales Change Orders, and Budget Change Orders.

Maintain regular, scheduled communication with Sales and Construction teams. Review standard and customer selections with the Sales team. Monitor iBuild/BuildBase to ensure all updated information is available as needed. Review and approve budget change orders within assigned authority.

What You Bring



2+ years of experience in estimating, or a related role (builder experience is a strong asset) Excellent interpersonal and communication skills, with the ability to negotiate and collaborate effectively with vendors, trades, internal teams, and stakeholders Strong organizational and administrative skills, with high attention to detail Proficiency with iBuild, BuildBase, or similar construction management software Familiarity with budgeting, cost tracking, and purchase order processes in residential construction Ability to maintain accurate records and ensure smooth project coordination across multiple teams Professional attitude and alignment with Avalon's core values: Accountability, Sustainability, Agility, and Passion Valid driver's license and access to a reliable vehicle
