Let's Plan Ltd is hiring an Entry-Level Operations Assistant to help drive efficiency and excellence across our organization.

About the Role



The Operations Assistant supports administrative tasks, scheduling, data entry, follow-ups and task management to ensure smooth and efficient workflows in a modern workplace environment.

This role is essential in ensuring leadership can focus on delivering high-quality advice and service. You'll work closely with leadership, staff, and back office support teams in a collaborative office environment, with opportunities to interact directly in person, online, over the phone, and via email.

Key Responsibilities



Administrative Support



Perform accurate data entry and maintain up-to-date records and files. Utilize Microsoft Office and business-related software to create spreadsheets and presentations. Manage filing systems for easy access to important documents. Proofread documents for accuracy and clarity before distribution. Support administrative functions: scheduling appointments, coordinating meetings, and managing calendars. Handle phone systems with professional etiquette, directing calls appropriately. Maintain confidentiality of sensitive information in accordance with company policies.

Client Coordination



Provide exceptional customer support, greeting visitors and redirecting inquiries. Prepare team members for meetings. Support client interactions including follow-ups and information requests.

Task & Workflow Management



Track, update, and complete tasks related to service, records management, workflows, procedures, and daily operations. Collaborate with team members to enhance office efficiency and productivity. Process documentation.

Communication & Documentation



Assist with communication and campaign processes. Support projects related to resource development, marketing, and operations.

Qualifications



Education: High School Diploma required.

Preferred Skills & Experience



Customer service experience. Typing skills and attention to detail for accurate data entry and document management are required. Expected typing speed: 60 WPM with a near-zero error rate on a QWERTY numeric keyboard. Process-driven, service-focused, and team-oriented with a keen eye for detail. Experience in roles requiring privacy and discretion. Intermediate proficiency with Microsoft 365 products and apps designed to enhance productivity, collaboration, and communication. Ability to prioritize, document, and complete tasks effectively. Knowledge of filing systems and clerical procedures. Experience using social media graphics is an asset. Ability to easily navigate industry-specific software; multiple carriers and back office platforms required. Training provided. Familiarity with industry-related software, CRMs, carriers, and MGA platforms is an asset. Adaptable to changing priorities in a modern workplace and able to shift between operational tasks and priorities as needs change. Office experience is an asset, but not required.
