Rate: $17.49/hr (Start) - $22.67/hr (Year 10) Union Wage Scale

Hours: 40 hours/week ;Mon-Fri 8:30 am - 4:30pm

Position Summary:

The Donor Relations Support Clerk reports directly to the Donor Relations Support Supervisor


under the leadership of the Director, Donor Relations. The Support Clerk is the first responder for


donations, inquires and event registrations over the phone, in person, online and though email. The


Support Clerk assists with daily data entry as well as running and distributing donor


acknowledgement letters, cards and receipts. Additional duties include but are not limited to:


donor retention and payment collection by phone, assisting with daily mail processing, balancing


donations for deposits and database maintenance (as directed by supervisor). They are the direct


back-up to the Administrative Assistant and will perform such duties in times of absence. The


Donor Relations Support Clerk will support all members of the Donor Relations department in such


a way that optimizes the effectiveness and efficiency of the fundraising team in the recruitment,


cultivation, solicitation and stewardship of donors and volunteers.


The Donor Relations Support Clerk will be working primarily with the Donor Relations Support


Supervisor and the Director, Donor Relations. In addition, this position will offer support to other


areas of Donor Relations as directed on a priority basis by the Director, Donor Relations. This


position includes non-regular hours to attend event meetings, working at events and assisting with


their set up and tear down. This position is privy to confidential financial information surrounding


donations, fundraising, budgets and donor data.

Duties and Responsibilities:

• First responder to receive donations over the phone, in person and online
• First responder to resolve donor inquiries over the phone, in person and online
• First responder to complete donor requests over the phone, in person and online
• Performs donor retention and payment collection by phone
• Enters and maintains data over multiple donor databases
• Prepares, maintains and sends out donor acknowledgements and receipts
• Assists with daily mail processing, balancing donations for deposits and database

maintenance


• Handles cash transactions in the shelter and during events
• Assists with event prep and takedown
• Fills donor relations roles during events
• Is the direct back-up to the Administrative Assistant
• Other duties as assigned

Education, Training & Knowledge:

Experience


• Minimum of three years' experience in an administrative position, preferably in a not-for-


profit development office
• Minimum one year experience performing data entry work
• Experienced in dealing with internal and external customers/donors, business

professionals and suppliers


Skills


• Ability to multi-task and be receptive to ongoing changes in priorities
• Demonstrated ability to solve problems, use good judgement, and communicate effectively

with peers and clients.


• Ability to present information concisely and effectively, both verbally and in writing
• Ability to organize and prioritize work
• Ability to work independently with little supervision

Education


• Certificate or Degree in Office Administration or Fundraising. An equivalent combination of

experience and education may be considered.
Knowledge


• Proficiency with Microsoft Office Suite including Excel
