Job purpose



The Donations Coordinator is responsible for facilitating the connection between donors, partners, and clients by overseeing the receipt, processing, tracking, and distribution of donations. This role serves as the primary point of contact for all inquiries related to donation collection and distribution. In partnership with Outreach/Event Planning Worker and Volunteer Coordinator, the Donations Coordinator will also be responsible for planning and organizing donation drives, as well as orienting and training volunteers who support clients in accessing needed donations. The successful incumbent will lead and support donation-related initiatives across all CDCD's departments and programs by working collaboratively with teams throughout the agency.

Duties and responsibilities



Using client-centered, anti-oppression, anti-racism, trauma-informed, gender-based analysis plus+ and strength-based approaches, build relationships and establish rapport with existing community partners, vendors, clients, staff and key donors that support the work we do. Ensure the confidentiality and protection of sensitive information related to donors, community partners, vendors, and clients. Promote a high-functioning teamwork environment that is inclusive, harmonious, cooperative, efficient and productive. Participate in promoting a positive workplace culture through agency committee membership and departmental activities. Follow general directions and instructions from the Team Lead, Ajax and Oshawa/Clarington Welcome Centre.

Handle Donor Interactions:




Manage emails, calls, and processing of donor offerings. Respond to inquiries regarding donations, including collection and distribution requests. Prepare and send donor acknowledgments and communications (e.g., thank you letters/cards) in a timely manner. Research, identify, and solicit potential donors to secure support. Ensure professionalism and engagement when interacting with donors, partners and clients.

Coordinate and Manage Donations




Oversee and coordinate CDCD-wide donation processes, ensuring efficient and equitable distribution of donations and gifts. Lead various donation drives such as furniture, food, clothing, toys and back to school materials. Organize and manage the external storage unit for donations; sort, repackage, and organize items to ensure efficient storage and accessibility. Establish the donation program's capacity and workflow for soliciting, receiving, and distributing donations. Coordinate donation pick-ups/drop-offs and furniture delivery as needed. Understand the legal and tax implications of donations and maximize the benefits of different donation types.

Donation Event Planning and Fundraising:




Organize and manage events to generate financial and in-kind support for the organization, including activities such as auctions, raffles, wine tastings, golf tournaments, car washes, and bake sales. Collaborate with the Digital Marketing & Fundraising Coordinator, where applicable, to support and assist with fundraising initiatives that align with donation and client support goals. Assist in developing and implementing a comprehensive fundraising strategy, including donor relationships, donor materials, and appreciation events. Increase awareness of the organization by creating promotional materials, such as brochures, webpages and online content. Coordinate and manage donations and fundraising events, ensuring all details are properly executed. Collaborate with finance and management to ensure fundraising activities are financially sustainable and accurately reported.


Date Management and Reporting:




Maintain and update statistical and narrative data to create and submit funders and board reports. Manage and maintain donor, client and volunteer information.

Volunteer Training:




Assist with training volunteers to process donations and provide translation/interpretation services.


The job incumbent may be required to perform other duties as assigned.

Qualifications and Skills

Diploma or degree in Social Services, fundraising management, Marketing, Public Relations or related area of study. 4+ years working experience in settlement services, food bank or furniture bank, with focus on donations and/or volunteer coordination. Proven experience as a Fundraising Coordinator or similar role. Superior communication skills, oral and written proficiency in English. Proficiency to a second language, would be an asset. Outstanding project management skills. Knowledge of and sensitivity to the multicultural communities Knowledge of gender-based violence, anti-oppression principles and trauma-informed approaches. Strong computer literacy (i.e. word processing, databases, and email) and experience working in on-line environments with web-based tools




Additional Requirements







The Donations Coordinator will work out of an office environment and will also be required to assist with the physical handling of donations, including lifting items up to 20 lbs as needed. The Donations Coordinator will need to be flexible for evening and/or weekend meetings and events as required. A valid Ontario driver's license (Class G), use of a vehicle and insurance with the ability to work in a variety of settings is an asset. Successful candidate must provide an acceptable vulnerable sector check prior to commencing employment
