Cybertech Automation is seeking an experienced Full Time

Document Controller

to help support a key client in the greater Edmonton Area. This is a hybrid role working both on site and from home as required.

About the Role





The Document Controller supports refinery-based capital and maintenance projects by managing and maintaining the integrity of all technical documentation throughout the project lifecycle. Embedded within the client organization, this role ensures that all project-related documents, drawings, and transmittals are received, reviewed, quality-checked, and distributed in accordance with established standards and procedures. Operating under the direction of the client, the Document Controller upholds document control protocols using systems such as ASSAI, ensuring data accuracy, version control, and compliance with all necessary documentation requirements.

The position requires:





Receive, log, and process all project documentation packages from Project Development, Project Engineering, and third-party engineering firms. Conduct quality control checks for documents Issued for Approval (IFA) through to Issued for Construction (IFC), verifying that drawing packages align with transmittals. Liaise with contractors, project development engineers, and project engineers to resolve discrepancies or documentation issues. Manage and monitor the Technical Document Control mailbox to ensure timely document distribution and response. Perform data clean-up, validation, and maintenance activities to ensure accurate metadata and document traceability. Develop and update work instructions and process documentation related to document control workflows within the ASSAI system. Support the introduction, training, and continuous improvement of the ASSAI document control application. Maintain accurate document revision histories and ensure compliance with project document management standards and refinery procedures. Coordinate with internal and external stakeholders to facilitate document handover, archiving, and retention in line with project close-out requirements. Contribute to audits and compliance reviews related to document management processes.

Knowledge, Skills, & Abilities



Diploma in Information/Business Analysis/Records Management/Library Studies or equivalent post-secondary education coupled with relevant experience. A minimum of three (3) years of experience in a project environment or equivalent related field. Proficiency in CAD software is a significant asset and will be strongly considered. Comprehensive understanding of document control practices and lifecycle management in oil and gas or refinery project environments. Proven ability to work autonomously and with minimal supervision. Strong computer skills, including advanced proficiency in Microsoft Office Suite, SharePoint, OneDrive, and Teams. Experience and/or developmental knowledge of SharePoint or other document control systems. Self-motivated team player with the ability to collaborate effectively with team members to achieve deliverables. Exceptional analytical, interpretive, organizational, and problem-solving skills. Capacity to handle a high workload, tight timelines, and high-impact activities. Skillful in prioritizing and managing multiple assignments, meeting established deadlines while aligning with project requirements. Outstanding communication skills, both written and oral. Excellent interpersonal skills, displaying the ability to share experience and knowledge with others. * Possesses a keen attention to detail.
