Today, our colleague\'s team with customers, partners, and suppliers on diverse projects in nearly 40 countries.Bechtel Infrastructure works in a Delivery Partner role within an integrated team with the customer organization for a Subway Project in Toronto, Ontario. The project scope includes the design build, operations and maintenance of all infrastructure and rail systems associated with 15 stations and over 15km of new alignment, being performed by three key PPP Contractors and multiple advanced early works (EAW) packages Contractors. Bechtel form a key component of the overall Integrated Project Delivery team (comprising the customer, MX; the Technical Advisor, and Bechtel as the Delivery Partner).Job Summary:The Document Control Delivery Supervisor (DCDS) reporting to the Document Submission Manager, will be responsible for shadowing the Document Submission Manager (DSM) and act as the DSM during periods of absence. Ensures project document management, records management and office administration meet the requirements of Bechtel, its clients, partners, and regulatory/legal entities. In conjunction with the DMS, DCDS is responsible for the functional direction and guidance of document management and administrative personnel assigned to the project and at jobsite locations. DCDS will provide direct supervision to a team of approximately 7 Document Control Coordinators. #LI-KL1Major Responsibilities:
Operational Oversight: Oversee day-to-day document control operations, ensuring that tasks are completed efficiently and accurately within 3-hour CPG KPI.
Team Support: DCDS provides support and guidance to team members, helping them with complex issues or escalations. They may also assist with document processing tasks when required.
Collaboration: Collaborate with the DSM on process improvements, technology implementations and strategic initiatives.
Training and Development: DCDS will be responsible for training new team members and assist with ongoing training efforts of the document control coordinators as well as other project team members.
Problem Solving: Assist in resolving complex issues related to document control, including identifying and addressing root causes.
Supporting Role: DCDS serves as the second-in-command to DSM and assists in carrying out their responsibilities.
Temporary Leadership: In the absence of the DSM (e.g., during vacations or emergencies), the DCDS may assume leadership responsibilities to ensure continuity of operations.
Education and Experience Requirements:
Requires bachelor\'s degree (or international equivalent) and 8-10 years of relevant experience or 12-14 years of relevant work experience.
Required Knowledge, Skills, and Abilities:
Minimum of 10 Years\xe2\x80\x99 Document Management experience.
Knowledge of document control and industry, and regulatory standards for document management/record keeping.
Knowledge of technical vocabularies and terminology common to the assignment.
Function well in a fast-paced environment and deal with pressure in a professional manner.
Familiarity with and experience using document control software such as Unifier, ProjectWise, SharePoint, and Aconex.
Must be proactive, use individual initiative, follow assignments through to completion, and be attentive to detail, quality control and deadlines.
Able to work independently with minimal day-to-day direction, and to exercise individual initiative, discretion, diplomacy, and judgement.
Possess a high degree of flexibility, have strong interpersonal skills and proven record as a team player.
Good oral and written communication skills.
Good organizational skills.
Must have the right to work and remain in Canada throughout the duration of the assignment.
Canadian National/PR preferred.
Familiarity with quality assurance requirements.
Effectively deal with and adjust quickly to changing priorities.
Have the ability to work Overtime as needed and on short notice.
Bechtel Experience preferred.
Experience with Unifier and Aconex preferred.
Rail Experience preferred.
