Position: Document Control Administrator

Location: Toronto, Ontario

Dufferin Construction, a CRH Company is looking for a Document Control Administrator to join its dynamic team of professionals passionately committed to world-class major project delivery. Project locations for this role include downtown Toronto and surrounding GTA area.

The Role

As a key part of Dufferin\xe2\x80\x99s Project Delivery Team, the Document Control Associate is responsible for:

  • Managing and undertaking the flow of project data (compiled by other team members) into project records, to ensure the project team has access to current information that can be tracked and measured, and reported to our clients.
  • The accurate and up-to-date publishing of documents and their associated metadata, in an electronic document management system (EDMS)
  • Applying corporate and project procedures to ensure the control and distribution of project documentation
  • Quality checking, registering, classifying, managing, tracking, and transmitting electronic documents as required by the project team or the client
The specific responsibilities of the position include:
  • Manage and track incoming and outgoing project communications and documents;
  • Store, secure, revise, retrieve and distribute electronic documents (if required, hard copy documents);
  • Process and control engineering documents, drawings, submissions, etc. in accordance with established guidelines and client-specific or company procedures;
  • Review reports, specifications, and other engineering documents to ensure adherence to quality and document standards;
  • Coordinate with Project Managers to track project schedules, as well as being responsible for the submission of deliverables to the client;
  • Participate in weekly Team meetings, and other resource management workshops, in order to understand the evolving document control and management needs of the team;
  • Conduct quality assurance checks on outgoing submissions;
  • Manage the flow of records to and from all appropriate parties;
  • Respond to internal and external drawing and documentation requests;
  • Timely archiving of project records;
  • Prioritizing multiple submissions, seeking guidance from leadership as may be required;
  • Easily adapt to changing processes and concepts;
  • Communicate effectively with engineering disciplines.
The candidate will report to the Project Controls Manager but must be able to work under minimal supervision, to take ownership of tasks and see them to completion in a time-sensitive environment. There may be a requirement to work on multiple projects and navigate changing priorities.

2-3 years\xe2\x80\x99 experience is essential, ideally in an engineering or construction project team environment including experience with EDMS. A thorough working knowledge of document control principles is required as well as experience with preparation and formatting of documents. Expertise in Office 365 use is desirable, as is experience in various electronic drawing file formats.

  • Displayed ability to learn quickly and driven to broaden knowledge base.
  • Engineering and/or project management designations will be valuable.
  • Advanced proficiency with applicable software applications in related fields;
  • Ability to collaborate and work effectively in a variety of teams, including multi-disciplinary teams.
  • Good attention to detail
  • Ability to prioritize workload
