We are seeking a highly organized and efficient person to join our team. The ideal candidate will be responsible for coordinating schedules, managing communication, and ensuring smooth operations across various departments. This role requires excellent multitasking abilities, strong communication skills, and proficiency with office software. The Dispatcher plays a vital part in maintaining customer satisfaction and operational efficiency within our organization. Sales skills over the phone is a must.
Duties
Answer multi-line phone systems promptly and professionally, providing exceptional customer service and support
Schedule and dispatch service technicians or delivery personnel based on priority and availability
Manage data entry tasks accurately using QuickBooks, Microsoft Office, and Google Workspace applications
Maintain organized filing systems for dispatch records, invoices, and client information
Assist with front desk responsibilities including greeting visitors and handling administrative inquiries
Coordinate with team members to ensure timely completion of tasks and deliveries
Proofread communications for accuracy before dissemination to clients or staff
Support bookkeeping and billing processes related to dispatch activities
Provide customer support by addressing inquiries, resolving issues, and ensuring client satisfaction
Maintain organizational records and assist with clerical duties such as filing, data management, and document proofreading
Skills
Proficiency in office software including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
Experience with QuickBooks or similar bookkeeping software is preferred
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent communication skills with good phone etiquette and customer service experience
Ability to handle data entry accurately with high attention to detail and typing proficiency
Previous clerical or administrative experience, especially in a front desk or medical/dental office setting, is advantageous
Familiarity with multi-line phone systems and scheduling software
Strong computer skills including navigating various platforms and troubleshooting basic technical issues
Ability to proofread documents for clarity and accuracy
Experience in customer support roles demonstrating professionalism and problem-solving abilities
