SCOPE OF POSITION: The Dispatcher/Logistics Coordinator will be reporting to the Branch Manager and be responsible for the scheduling of air, ground, and ocean carriers, preparing documentation, coordinating loading, and unloading activities with receiving, along with entering and verifying freight costs in the internal database. This person will be overseeing the transacting of materials in and out of our inventory system through receiving, shipping, and return functions. Job Duties and Essential Functions:
- Generating shipping and customs documentation as applicable (waybills, packing slips, commercial invoices, FCC, B13, SED, CUSMA, etc.)
- Sourcing and scheduling carriers for shipments through Canada
- Manage relationships with carrier dispatchers and drivers
- Provide quotations and negotiate with carriers
- Assist /write loading trailers for outgoing shipments and offloading trailers for inbound shipments when required
- Manage maintenance schedule on internal shunt truck, and external trucks and trailers
- Book inbound/outbound delivery appointments and manage the schedules
- Verify packing slips / carrier waybills for accuracy of materials delivered and process receipt transactions into the ERP system
- Coordinate the inspection of customer returned materials, entering RMA\xe2\x80\x99s according to the sales Terms and Conditions
- Investigate dealer claims and analyze the cost effectiveness of returns vs. discounts; manage the return process from dealer to DC
- Initiate/communicate adjustment for claim as needed
- Ensure vendors are compliant with established policy and communicate with Operations findings and opportunities
- Plan and track the shipment of final products according to customer requirements.
- Create shipping and dispatch records
- Manage driver log books and keep track of dispatched calls, driver routes, accurate records and permits, pickup and delivery schedules, truck repairs with maintenance and more
- Serve as the primary point of contact for customers regarding delivery inquiries
- Address and resolve customer complaints and delivery issues promptly and professionally
- Continuously assess and improve dispatch processes to enhance efficiency and effectiveness
- General cleanup of the immediate work area is required daily
- Other duties as assigned
- Post-secondary education and/or equivalent experience in related field
- Two (2) years\xe2\x80\x99 experience in logistics coordination (Dispatching/Transportation Coordination)
- Experience using Warehouse Management Software
- Experience working with multiple departments to coordinate the movement of materials
- Excellent organizational and multitasking skills required
- Knowledge of U.S. customs
- General trucking knowledge and knowledge of the hours of service requirements for drivers
- Valid Forklift certification would be an asset
- Knowledge of 5s an asset
- Advance experience using Microsoft office including Outlook, Word, and Excel
- Physically capable of performing the demands of the job
- A combination of office and warehouse setting
