Job Description

We are growing and are looking for a responsible and detail oriented individual to join our dispatch team.

Duties and Responsibilities

:

The primary job duties and responsibilities include:

Answer the phones in a polite and professional manner Take service calls and obtain all relevant information for the service calls Enter all service calls and quote requests into our tow management software with accuracy. Assess information and dispatch the proper truck/driver Take messages for other staff members as necessary obtaining relevant call information Respond to driver inquiries and make follow-up calls as necessary to assist drivers Process payments (debit, credit cards, TChek, etc) Invoicing - when call is competed, check to make sure all information is correct, verify customer notes to ensure that invoices contain necessary information, verify how customer paid (on account, cash, credit etc.), validate the call information and print out invoice End of day balancing - run end of day report and balance all on account, cash, cheque, and credit card invoices Daily/Monthly and Ad-hoc reports to management - gather, validate, and analyze required data in excel, word, or from our tow management software Quoting - look up on Google maps to find kilometers, calculate what price the tow would be, get it approved by management and input it into the system, then respond to customer with quote Emailing - monitoring the dispatch email on a daily basis and respond if needed, compose your end of day emails which include updating office staff and management on calls still happening or any scheduled calls waiting either for that day or the next, also include any other relevant information Release of vehicles in the yard - search for the vehicle in our tow management system, verify necessary information, validate the charges calculated by the system, produce the invoice, process payment, and release vehicle and keys with yard attendant and/or driver Preparation of any necessary cross border paperwork Filing - file all paperwork properly Cleaning - maintain cleanliness of office, wipe surfaces, sweep, wash floors, garbage Other duties

Qualifications:



Detail oriented Ability to multi-task and handle high pressure situations High School Diploma Customer Service experience Excellent knowledge of Microsoft word, excel & outlook Working knowledge of internet and Google maps Data Entry Experience
