We are seeking a highly organized and proactive

Dispatch & Project Support Specialist

to join our Field Operations team. In this dual-role position, you will serve as the vital link between our Sales and Field Operations departments--ensuring seamless coordination of projects, timely dispatch of technicians, and clear communication with clients and support VP with data collecting, writing reports and other technical documentation.

Dispatching & Scheduling



Coordinate with clients, Operations Director, Sales Manager and Project Managers to plan operations based on client needs. Maintain and update various tracking sheets required throughout projects. Maintain and update schedules for all active service and project work. Schedule field technicians 1-4 weeks in advance, considering labor needs and resource availability. Plan and organize out-of-town service work, including travel logistics and accommodations. Adjust schedules in real-time to accommodate changes, delays, or emerging priorities.

Project Coordination



Collect and organize data from remote field systems and internal databases. Analyze system output (e.g., from FutureCast or other automated tools) and convert it into clear, actionable insights. Maintain a strong understanding of our sensor systems and data structures. Create client-ready reports, including charts, photos, and descriptive summaries from site data. Ensure data presented is accurate, clearly structured, and visually understandable. Act as a key user and administrator of internal data/reporting software (BIG, Analytics, Salesforce etc). Ensure proper entry, maintenance, and archiving of data across company platforms. Provide technical support to internal users related to data access or reporting tools. Ensure reports are regularly updated and professionally presented. Coordinate procurement and logistics of materials, tools, and equipment. Manage on-site inventory and ensure equipment (up to ~50 lbs) is properly handled and maintained.

Customer Service Support



Act as the main point of contact for client representatives via phone, email, and possibility in person on-site. Address concerns promptly and ensure high levels of client satisfaction. Provide regular updates (daily or weekly) on project status, including progress, pending tasks, and estimated timelines. Send clear, professional reports and status updates at regular intervals or upon request.

Qualifications



Minimum 1 year of construction experience Native or Fluent English with proficiency in technical language Valid driving license and own vehicle Fundamental understanding of construction industry processes and challenges Strong organizational and analytical skills with high attention to details Proficient in Microsoft Office (especially Excel and Word) Experience with data visualization or reporting tools is a plus Comfortable working with technical documentation, photos, and structured data Ability to interpret data output from monitoring systems and convey findings clearly Excellent written communication skills, especially in technical writing and report generation Experience with administrative tasks related to internal software systems or databases Background or education in engineering, construction technology, data management, or related field is an asset Previous experience in a field operations or technical support environment is beneficial Experience supporting engineering teams in a data-focused capacity would be an asset

Pay: $50,000.00-$58,000.00 per year
