Dispatch Coordinator (civil Construction)

Job Description

The Dispatch Coordinator plays a key role in keeping field operations and the yard running smoothly. This role reports directly to the Operations Manager and manages the daily dispatch of crews, trucks, and heavy equipment across multiple civil construction sites, ensuring resources are scheduled efficiently, conflicts are resolved quickly, and field teams have what they need to stay productive.

Responsibilities



Crew Allocation and Dispatch



Coordinate daily dispatch of crews, operators, trucks, flagging, surveying, and heavy equipment; Ensure crews/sites are properly staffed Review and manage, daily, crew compliments and supplementing internal crews with third party vendors in areas such as, but not limited to, trucking and traffic control Ensure crews have all required materials and equipment in conjunction with the Project Managers and Superintendents/Foremen on site Build and maintain the daily/weekly schedules; adjust in real time as priorities change Review upcoming and current projects, identifying areas of concern or lack of resources and provide input to a resourcing plan Communicate start times, site locations, equipment needs, and changes to crews and supervisors Track equipment availability, maintenance of status, and location; prevent double-booking or downtime Monitor progress through the day and troubleshoot shortages, delays, and resource conflicts Update dispatch logs, timesheets, equipment hours, and project tracking systems Inform the Operations Manager of employee issues for things like, but not limited to, safety issues, absenteeism/reliability, and equipment abuse or unreported damage Support Supervisors and Project Management team with manpower and equipment planning Work with the Fleet and Maintenance Coordinator to coordinate repairs, swaps, and preventative maintenance Assist the Operations & Human Resources Manager with preparing annual field staff reviews and field issued documentation Ensure compliance with company safety procedures, load limits, certifications, and operating requirements Maintain clear, professional communication between office, yard, and field teams

Job Planning Logistics



Coordinate with estimators to ensure dump list is being updated and maintained at least monthly Oversee the yard inventory and stock - purchase and replenishment Facilitate/ensure the field has the equipment, tools, and materials to complete and deliver safe and high-quality work for our customers in conjunction with the proper planning and communication from the Project Managers and Supervisors (daily, monthly, and annually) Assist with sourcing and purchasing of vehicles and equipment Manage ICBC claims

Cost Control Purchasing



Audit daily rentals and provide rental updates weekly to all project teams and action urgent items Issue purchase order and reconcile them for all rentals, transport, mobilizations, and purchases with reports provided by accounting Provide oversight on the supply chain of consumables and ensure appropriate yard/project stock levels are being maintained, purchased, and distributed. Review all bulk purchases and update Operations Manager on orders above $1000.

Qualifications



2+ years of dispatch or coordination experience in civil construction / heavy equipment preferred Strong understanding of civil underground utilities, site prep, excavation, and equipment types Solid organizational skills; able to manage multiple moving parts in a fast-paced environment Confident communicator who can make decisions and adjust priorities Experience with scheduling software, GPS/telematics, or fleet management systems is an asset Quick problem-solving skills with the ability to work effectively under pressure Strong attention to detail and accuracy in scheduling Excellent time-management and multi-tasking skills
