Position Summary: Reporting to the Executive Director (ED), the Director of Operations and Services (DOS) contributes to the overall success of St. Mary\xe2\x80\x99s Home (SMH) by effectively managing the operational systems of the organization in alliance with the vision, mission, and strategic plan. This position is responsible for Financial Management, Human Resources & Administration Management and Facility & IT Management across the agency and for ensuring the continued excellence in meeting or exceeding agency requirements. The DOS works closely with the ED and Management Team to support best practices; adherence to licensing and accreditation standards; ensuring risk mitigation, quality assurance and organizational objectives are being met. In doing so, the DOS liaises and collaborates with community partners and funding contacts to support SMH\xe2\x80\x99s achievement of service outcomes, reporting requirements and strategic plan objectives, while providing supervision and support to the Management and Admin teams. Key Responsibilities: \xc2\xb7 Participate in all aspects of human resources management, including the recruitment, orientation and training of new staff members and supporting ongoing professional development while promoting positive morale and a healthy workplace; \xc2\xb7 Provide supervision and support to the management and administrative team members; \xc2\xb7 Supervise IT support and ensure the ongoing quality of IT systems and infrastructure; \xc2\xb7 Oversee organizational needs for computer hardware and software, procuring new equipment as needed; \xc2\xb7 Develop, implement, and ensure compliance with internal financial and accounting policies and procedures; \xc2\xb7 Oversee the timely and accurate preparation and reporting of monthly financial statements; \xc2\xb7 Assist the Executive Director and the Board Treasurer with financial reporting as required at Board meetings and the Annual General meetings; \xc2\xb7 Ensure statutory reporting compliance in all relevant jurisdictions including those pertaining to not-for-profit organizations; \xc2\xb7 Be an active member of the Finance Committee and liaise with the Executive Director and Treasurer; \xc2\xb7 Approve expenditures for program and support service needs, while respecting budget guidelines; \xc2\xb7 Share signing authority responsibility for the agency, while adhering to the Bylaws of SMH; \xc2\xb7 Develop and recommend policies and procedures where necessary and support cohesive operations across the agency; \xc2\xb7 Ensure policies and procedures are understood and implemented in the day to day operations of SMH; \xc2\xb7 Support the ED in meeting agency operational and legal requirements and maintaining licensing and Accreditation Standards as a Child and Youth Mental Health Agency; \xc2\xb7 Monitor, manage and improve the efficiency of services such as IT, HR, Accounts and Finance \xc2\xb7 Participate actively in team, staff and leadership meetings; \xc2\xb7 Support and facilitate visioning, service planning and staff development; \xc2\xb7 Collaborate very closely with the ED and act as temporary replacement for the ED during their absence; \xc2\xb7 Carry out other duties as assigned by the ED. Qualifications and Essential Skills: As the ideal candidate, you are an inspiring leader that brings a combination of: \xc2\xb7 Relevant education and a minimum of seven years\xe2\x80\x99 progressive management experience; \xc2\xb7 A strong ability to lead and mobilize staff and a demonstrated success in incremental leadership within a not-for-profit setting; \xc2\xb7 Exceptional organizational skills and attention to detail, resourceful, flexible, with ability to prioritize tasks; \xc2\xb7 Demonstrated leadership abilities, including the ability to work and make decisions independently as well as within a team; \xc2\xb7 Experience in all aspects of human resources management, including supervising and managing staff and to achieving organizational and project deliverables; \xc2\xb7 Demonstrated experience with managing non-profit finances and ensuring compliance with contribution agreement requirements; \xc2\xb7 Exceptional administrative and project management skills, including a strong aptitude for managing multiple priorities simultaneously; \xc2\xb7 Strong problem-solving and critical thinking abilities, demonstrating exceptional judgment, discretion and decision-making skills; \xc2\xb7 Excellent computer skills, highly proficient in QuickBooks and Excel, knowledge of software programs, familiarity with database software; and understanding of IT systems; \xc2\xb7 Versatile, skilled, and effective communicator with demonstrable evidence of strong written and oral communications skills; \xc2\xb7 Ability to work in a dynamic, fast paced environment with competing deadlines; \xc2\xb7 Ability to Adapt to changing needs of the organization; \xc2\xb7 Experienced and inclusive leader with exceptional communication, innovative systems thinking, team and stakeholder engagement skills; \xc2\xb7 Experience working in the community with a strong understanding of government, policy, programming, and funding models related to social services; \xc2\xb7 Demonstrated experience improving processes and systems with a continuous improvement culture; \xc2\xb7 Fluency in English; fluency in French is a strong asset.
