Trillium Health Partners serves the growing and diverse populations of Mississauga, West Toronto and surrounding communities and is a teaching hospital affiliated with the University of Toronto.Our Mission: A New Kind of Health Care for a Healthier CommunityOur Values: Compassion, Excellence, CourageOur Goals: Quality, Access, SustainabilityOur Enablers: People, Education, Innovation, ResearchPosition Overview:Reporting to the Manager of the Coordination & Communication Center, IS Operations Control, this position will serve as a liaison between technical teams, management and other departments within the Information and Digital Services Division to plan and maintain comprehensive technical writing, presentation and development project management and administrative support to the Digital Services cross-functional teams. This individual will be responsible for overseeing multiple projects and ensuring a smooth delivery of solutions to programs. A highly skilled, evidence driven individual with exceptional analytical and technical project management and people skills will excel in this position.Key Responsibilities:Digital Services:

  • Create, edit, and maintain comprehensive technical documentation, including user manuals, system guides, SOPs, and training materials.
  • Translate complex technical concepts into clear, concise, and user-friendly documentation.
  • Expertise in graphical or data visualizations to support technical storytelling in a digestible way to nontechnical and executive audience.
  • Collaborate with engineers, developers, and other technical staff to gather information and ensure accuracy of documentation.
  • Maintain documentation standards and ensure consistency across all materials.
Project Management:
  • The ability to lead project teams to plan, coordinate, and manage technical projects from initiation through completion.
  • Develop project timelines, milestones, and deliverables, ensuring adherence to deadlines and budget.
  • Identify project risks and develop mitigation strategies.
  • Manage the daily operational aspects of a project providing project management expertise and guidance, enforcing project standards, anticipating and troubleshooting issues and minimizing the hospital\xe2\x80\x99s exposure to risk
  • Facilitate project meetings, track progress, and provide regular status updates to stakeholders.
  • Ensure projects align with organizational goals and objectives.
  • Draft and submit budget proposals and resources, and recommend budget changes where necessary
  • Produce project work plans in coordination with appropriate internal and external stakeholders to establish project scope, deliverables, budgets, accountabilities, schedules, timelines, resources, monitoring, and post project audit/evaluation
  • Drafting business cases and proposals for senior leadership review and approval
  • Contribution and leadership in continuous process improvement of Project Management Best Practices is integral to the role
  • Travelling between our three sites, Credit Valley Hospital, Mississauga Hospital, Queensway Health Centre is required for this role
Communication:
  • Serve as a liaison between technical teams, management, and other departments to ensure clear and effective communication.
  • Prepare and deliver presentations, reports, and other communication materials for diverse audiences.
  • Foster collaborative relationships with internal and external stakeholders.
  • Provide training and support to staff on new systems, processes, and documentation.
Qualifications & Skills:
  • Bachelor\xe2\x80\x99s degree in Technical Writing, Computer Science, Information Technology, or a related field.
  • At least 5 years direct work experience in a project management capacity, or related role in health care environments such as hospitals, government or private sector required, including all aspects of process development and execution
  • Certified Project Management Professional (PMP) in good standing
  • Experience delivering projects in the Technology and the Healthcare industry
  • Minimum 2 years of experience with content management systems and digital publishing.
  • Experience preparing and maintaining monthly consolidated project financial reports, managing invoice payments, accrual and reconciliation
  • Coordinate all internal resources and third-party vendors for the flawless execution of project
  • Strong analytical capabilities, strategic thinking and business acumen
  • Knowledge of clinical processes and experience in healthcare environment is preferred
  • In-depth knowledge of PMIs project management (PMBOK) methodology and experience in developing business cases, project charters, executive summary reports, and statement of work (scope definition) documents
  • Experience and understanding of how to effectively manage change, integration and improvement projects
  • High proficiency in O365 \xe2\x80\x93 Microsoft Suite, MS Project, Visio, MS Office, Teams
  • Exceptional written and verbal communication, organizational, time management and project management skills with demonstrated ability to multi-task and prioritize tasks effectively.
  • Exceptional attention to detail and interpersonal communications skills and ability to successfully build relationships with senior leaders and frontline clinicians.
  • Strong problem-solving and critical-thinking abilities, along with the ability to adapt to changing project requirements, priorities and tight deadlines
  • Ability to synthesize and present information in a concise manner that is easily understandable and engaging for the intended audience through presentation decks, pitches, and other project materials.
  • Demonstrated ability to develop effective and comprehensive technical concepts and presentations for various audiences, including executives, administrators, and clinicians.
  • High level of adaptability and a willingness to learn and grow in a dynamic environment.
  • Demonstrated ability to take initiative and drive projects to successful completion.
