Job Description

The Faculty of Education at the University of Winnipeg has an annual enrolment of approximately 1600 students. Located within the Faculty of Education, Access Education includes the following programs: CATEP (Community-based Aboriginal Teacher Education Program), WEC (Winnipeg Education Centre), ITEP (Immigrant Teacher Education Program), and Post Baccalaureate Diploma in Indigenous Knowledge. Access Education provides service to students as well as local community members. The goal of the Access Programs is to break down barriers to post-secondary education commonly faced by non-traditional students including but not limited to: those of Indigenous ancestry, new immigrants, students from lower socio-economic backgrounds, and students with families.



The

Department Assistant - Access Education position is a full-time, term

position ending January 2027

. This position is responsible for providing administrative support to the Executive Director, the Academic Advisor, the Financial Office as well as Faculty. This position is the Access Scheduler for all three terms, and participates in recruiting, selecting and preparing new students. As the first point of contact this position plays and integral role in the running of all Access Programs.



Responsibilities:




Provides administrative support to the Director including scheduling appointments and meetings, managing their calendar, gathering literature and preparing materials, and handling communications on their behalf Participates in meetings by giving insight into students, providing updates on program schedules, taking minutes, and completing action items. Assists with planning course offerings in collaboration with various academic departments Designs Access timetables and assists with scheduling all courses to ensure program needs are met Liaises with various UW departments on scheduling and billing issues related to registration Plans and organizes all Access events and attends functions such as fundraisers and graduation dinners on behalf of the Access programs after hours. Plans and participates in recruiting events at various locations within Winnipeg. Schedules and coordinates Access information sessions, assessment testing and interviews Meets with potential applicants to provide information regarding eligibility for the WEC program, collects application documents and vets applications Provides support to students with regards to their progress in the program and makes appropriate referrals when necessary (e.g. Wellness Centre) Makes travel arrangements for student conferences. Assists the Practicum Coordinator with communication to applicants, collects applications for local and overseas practicums, and schedules interviews and monthly meetings for overseas practicums Designs and updates content on the Access Education website and social media platforms Assists students with technology issues and maintains student mailboxes Maintain department data bases, receives and distributes mail and coordinates courier packages Orders office supplies, maintains photocopiers, and schedules and arranges building maintenance


Qualifications:




High school completion or equivalent Completion of a formal training program in a related discipline Minimum of four years directly related office experience Knowledge of the field of Education Working knowledge of email, MS Office Suite required; experience with Colleague and Crystal Reports an asset Excellent organization skills and attention to detail Ability to make decisions Excellent oral and written communication skills, the ability to present information in a group setting


An equivalent combination of education, experience, skills, knowledge and abilities may be considered.





Condition(s) of Employment:




Must be legally entitled to work in Canada.


The salary range for this position will be from $

40,677.00 to $

56,110.60 annually.
