The Opportunity

We are currently seeking a Department Administrator to join our Manitoba Operations in Thompson, MB. Reporting to the Human Resources Manager. This is a fixed term position for 1 year.

As the Department Administrator, you will provide day-day support on a variety of administrative components such as administering payroll files for the hourly workforce, including entering Incentive time, supporting the grievance process, advise on HR policies and the Collective Bargaining Agreement (CBA). We are seeking a new team member who has excellent analytical and reporting skills, proficient in Excel, and is comfortable managing a range of administrative tasks and meeting deadlines.

Requirements & Accountabilities:

  • Generates regular and ad hoc reports and metrics using data from multiple sources.
  • Provides data administration for all employee change actions as required using our Vale HRIS system (Peoplesoft).
  • Responsible for providing first line of response for general HR inquiries from clients.
  • Maintain efficient time and attendance records.
  • Maintain the integrity of payroll data and meet prescribed deadlines.
  • Support entering Incentive Timesheets specific to Mines Operating employees into our Vale HRIS system (PeopleSoft) as needed.
  • Manage the training bid administration process per the Collective Bargaining Agreement.
  • Provide support and training to leaders on Programs such as PeopleSoft, Grievance handling and the Employee documentation system.
  • Support the department\xe2\x80\x99s overall cost management goal by contributing to the efficiency of operations for payroll administration, implementation of new systems and processes and other departmental activities. As well as contributing to the continuous improvements of processes in the department.
  • Administer the grievance process, work schedules, discipline documentation.
  • Create and maintain department files both electronically and paper.
  • Provides support to the hourly annual vacation process.
  • Be the primary point of contact for employees providing confidential information regarding payroll, policies and procedures and Collective Bargaining Agreement related inquiries.
  • Coordinate annual audio, health screening and respirator fit testing for hourly and staff employees with local Occupational Health provider.
  • Provide administration support to TELUS Health and Safety and Health teams with respect to A&S or WSIB claims.
About You:

Education:
  • Certification in Business, Payroll or office Administration preferred.
Experience:
  • Minimum of 2 years of Administrator experience preferred, however recent graduates are encouraged to apply.
Skills:
  • Experience with HRIS, SAP, Knowledge of PeopleSoft is an asset.
  • Excellent MS Office skills (Word, Excel, PowerPoint)
  • Demonstrates creative problem-solving to resolve problems in a timely manner.
  • Excellent communication skills, with the ability to explain information in an organized and concise way.
  • Strong organizational skills and excellent attention to detail, with the ability to meet challenging deadlines.
  • Ability to build and maintain collaborative working relationships with internal and external stakeholders.
  • Effectively prioritize and deliver results in a fast paced and dynamic environment.
  • Exercise good judgment and maintain confidentially in maintaining critical and sensitive information.
  • Independent delivery with the ability to work in a team-driven environment.
