We are seeking a highly organized and detail-oriented Office Administrator to oversee daily operations within our healthcare or dental practice. The ideal candidate will possess strong administrative skills, experience with electronic medical records, and familiarity with medical and dental terminology. This role involves managing office functions, supporting human resources activities, and ensuring smooth communication across departments. A background in dental or medical office environments, along with supervisory experience, is preferred. The Office Administrator will play a vital role in maintaining efficient office workflows, supporting staff, and ensuring compliance with healthcare regulations.
Responsibilities
Manage daily office operations, including scheduling appointments and coordinating patient flow
Maintain and update electronic medical records using systems such as Tracker software
Support human resources functions such as onboarding, staff scheduling, and personnel record keeping
Assist with billing, budgeting, and financial record management to ensure operational efficiency
Oversee administrative staff and supervise office procedures to optimize productivity
Ensure compliance with healthcare regulations, including medical terminology and documentation standards
Coordinate communication between providers, patients, and external vendors
Support clinical staff by managing supplies inventory and administrative tasks related to patient care
Prepare reports related to office performance, patient statistics, or financial data as needed
Qualifications
Proven experience in a dental or medical office setting; experience with Tracker or similar electronic health record systems is highly desirable
Strong knowledge of medical terminology and healthcare documentation standards
Previous supervisory or team-leading experience in an office environment
Familiarity with human resources processes including staffing, onboarding, and employee records management
Experience with budgeting and financial record keeping within a healthcare setting
Knowledge of hospital or acute care environments is a plus
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Strong communication skills for interacting with staff, patients, and external partners
Ability to adapt to new technologies and healthcare regulations quickly
