Overview


We are seeking a dedicated and organized Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing essential support to both staff and clients. This position requires strong administrative skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment. Experience in medical or dental office settings is highly desirable.

Duties



Patient Greeting & Check-In: Greet patients warmly upon arrival. Verify and update patient information (contact details, insurance, medical history). Confirm or schedule appointments. Schedule, reschedule, or cancel appointments for patients. Coordinate appointments based on dentist availability and patient needs. Send appointment reminders via phone, text, or email. Answer phone calls, provide information, and assist with inquiries. Address patient concerns, such as rescheduling or billing questions. Transfer calls to the appropriate staff member when necessary. Maintain accurate patient records, including dental history and treatment plans. Ensure all forms are properly filled out and stored securely. File and organize documents for easy retrieval. Verify patient insurance details and coverage. Obtain pre-authorization for treatments as required. Ensure correct billing practices for insurance claims. Collect co-pays and payments from patients at checkout. Process credit/debit card transactions and issue receipts. Handle billing inquiries and assist with payment plans. Communicate with dental staff to ensure timely preparation for patient appointments. Relay important messages to and from patients and dental professionals Ensure patients are comfortable while waiting, offering refreshments or assistance as needed. Provide basic information about dental procedures or aftercare instructions.

Skills



Proficiency in using phone systems for effective communication. Experience with Tracker in must. Strong front desk experience in a medical or dental office setting is preferred. Solid administrative skills including organization, time management, and attention to detail. Ability to work collaboratively as part of a team while also being self-motivated Polish speaking in must
Job Type: Full-time

Pay: $23.00-$25.00 per hour
