ABOUT THE JOB

You have a talent for juggling a variety of tasks and responsibilities, coupled with high attention to detail. You intuit what the executive team needs, minute to minute, and are curious enough to grow processes into an expert-level organizational skill set. Your main priority is to provide administrative support for all functions of the Delivery Department. Your great attitude and comfort working with fast-paced teams make you a strong support for staff, clients, and developers. This is a full-time position, but for the right candidate, we would be willing to consider a modified schedule.

This position is fast-paced and regularly manages shifting priorities.

As an Administrative Assistant...

You will work closely with the Directors, Delivery & Account Managers, and Project Managers of the Delivery team and other members of the Kanopi Management team to provide professional administrative assistance in a fun, team-oriented environment. Please note: you must have worked at a Digital/Website Agency or have similar work experience in an Administrative position to apply for this job. Due to the volume of inquiries, we are unable to respond to unqualified candidates.

Responsibilities

  • Manage various executive and company calendars and schedule meetings
  • Take notes on calls and assist with managing follow up tasks
  • Administer customer service interactions when needed; scheduling and coordinating appointments
  • Assist with sales coordination
  • Maintain the Client Success Check-in Schedule and Contract Renewal timelines
  • Updating reporting spreadsheets
  • Employee & client onboarding and offboarding logistics
  • Handling the administrative duties of the Delivery team
  • Assist in the overall process of making the company awesome by building repeatable patterns and processes for success and happiness.
ABOUT THE COMPENSATION & WORK REQUIREMENTS

This is a full-time position. The salary range for this position is $39,100-$47,950 - the range is broad, but it is commensurate with experience, aligned with current members of our team with similar experience, and may shift a bit depending on your geographic location. This is a 100% remote role, but you must live and be able to work in the US or Canada.

Requirements:
  • Experience as an administrative assistant preferred
  • Excellent communication skills, both written and verbal
  • Experience administering and coordinating distributed project teams
  • Professional examples demonstrating:

  • A commitment to delivering high-quality work on time
  • An ability to handle multiple, often competing, priorities
  • Strong problem-solving abilities, intelligence, initiative, and the ability to thrive under pressure
  • Are able to juggle multiple, often competing, priorities with ease.
  • Able to self manage and drive efforts with minimal oversight.
  • Attention to detail is a must.
  • Experience with Google Drive
  • Passion for the web, open-source development, and working with a bunch of fun people with a great sense of humor!
