Position Summary
Bow Valley College is seeking a highly organized and professional Dean's Administrative Officer to provide administrative oversight and support to the Dean and Associate Deans. Reporting directly to the Dean, this position plays a key role in ensuring the effective operation of the Office of the Dean while contributing to the efficiency and success of the academic department and the institution as a whole.
The Dean's Administrative Officer is responsible for coordinating administrative duties, processes, and projects within the Dean's portfolio, supporting cross-departmental collaborations, and ensuring smooth communication across internal and external stakeholders. This role requires discretion in handling sensitive and confidential information related to staffing, payroll, contracts, and student matters, as well as strong problem-solving skills to address and resolve issues that arise.
Key responsibilities include managing the Dean's schedule and correspondence, preparing reports and documentation, coordinating meetings and events, supporting departmental budgeting and purchasing processes, and acting as liaison with various College departments including People & Culture, Finance, Registrar's Office, HR, IT, and Ancillary Services. The Dean's Administrative Officer also provides leadership in process coordination and project management, supporting new initiatives, policy compliance, and the implementation of operational improvements. In addition, this role is actively involved in supporting student appeals, overseeing departmental records management, coordinating student awards, and ensuring compliance with College policies, procedures, and guidelines.
The ideal candidate will hold a diploma in a related field and bring three to five years of administrative experience in a complex organization. Proficiency with MS Office applications and databases, along with strong analytical, research, organizational, and communication skills, is essential. The successful candidate will demonstrate the ability to work independently while exercising sound judgment, manage multiple priorities in a fast-paced environment, and build effective working relationships with faculty, staff, students, and external partners.
Preferred qualifications include experience in policy compliance, project and process coordination, conflict resolution, and the ability to contribute to organizational improvements through innovative ideas and collaboration. This position requires exceptional attention to detail, discretion, and the capacity to anticipate challenges while proactively developing solutions.
