Position summary

The Data, Reporting and Partnerships Assistant is responsible for aiding the Ottawa Model for Smoking Cessation (OMSC) Managers, Coordinator of Data, Reporting and Partnerships, and the OMSC team at large with regards to program metrics, tracking, evaluation, reporting, and support for the OMSC database.

Responsibilities

  • Track and communicate program activities and metrics.
  • Update and maintain program spreadsheets.
  • Assist in the completion of program evaluation activities including but not limited to completing evaluation phone calls.
  • Prepare and complete regular reporting such as metrics reporting.
  • Assist with program audits and quality assurance testing.
  • Assist with the preparation of background documents, reports, proposals and contracts.
  • Schedule and coordinate meetings as required.
  • Assist in maintaining and managing the OMSC database. This would include but is not limited to set up of new OMSC network partners, troubleshooting database issues with partners and Implementation Specialists, quarterly testing of the database, and user maintenance.
  • Assist with OMSC contracts including but not limited to requesting contracts and tracking the status of them.
  • Provide administrative support to the OMSC Network as required.
  • Assist with conferences, workshops, and other program events.
  • Complete projects, tasks, research, and other duties as delegated by OMSC Managers and Data Analyst.
  • Provide OMSC Database user training and support as needed for OMSC partners and others as required.
  • Participate in Division-wide smoking cessation program activities.

Basic requirements

  • College or university degree with 3 years related experience or equivalent.
  • Superb knowledge of computers, spreadsheets, databases and information systems.
  • Demonstrated advanced proficiency with computers software packages (MS Word, Excel, SPSS PowerPoint, Adobe).
  • Excellent attention to detail.
  • Excellent organizational skills.
  • Excellent planning skills.
  • Excellent oral and written communication skills.
  • Demonstrated initiative and ability to prioritize (multi-tasking skills).
  • Works effectively and efficiently in a fast-paced, deadline driven environment.
  • Ability to work under pressure on several projects concurrently and continue to meet deadlines as required.
  • Bilingualism (French and English) is considered an asset.
  • Ability to work occasional evenings and weekends as required.
