The Data Management & Collaborative Communication staff will be an employee of the South London Neighbourhood Resource Centre (SLNRC). Day-to-day supervision/consultation will be provided by the Director of Settlement Services in the form of formal supervision meetings as well as informal support as requested.
Position Overview:
The Data Management & Collaborative Communication staff will be responsible for all communication and Data Management for the SLNRC Settlement Newcomer Services.
Qualifications:
College Diploma or University degree in Administration, Business or a related field of Social Service Administration experience.
Commitment:
This is a part-time position for (30 hrs/week) that will include working the occasional evening & weekend.
Rate of pay
: $27.65/hr.
Provides leadership in Data collection and Data Management for SLNRC Settlement Services
Ensure all data is uploaded into iCARE in alignment to our SLNRC Agreement with IRCC
Maintain data management reports and provide analysis for Settlement units within the Settlement team.
Ensure all agencies policies and procedures are in line with current legislation and all polices are reflective of SLNRC and meet the criteria of the IRCC agreement with SLNRC.
Provides clarity in Collaborative Communications
Provides Administrative support to SWIS Steering Committees including meeting invitations, virtual communication, minute taking,
Provides refreshments for all SWIS Steering Committee meetings
Provides support for all presentations at SWIS Steering committee meetings
Provides Administrative support to LSP Steering Committees including meeting invitations, virtual communication, minute taking,
Provides refreshments for all LSP Steering Committee meetings
Provides support for all presentations at LSP Steering committee meetings
Provides support to all partners for presentations at Settlement team meetings
Ensure that SLNRC -Settlement Services are in the SLCC-Room Booking system with support from the Executive Assistant of SLNRC and maintain bookings where appropriate
Directly respond or co-ordinate responses to requests for information from internal/external partners in relation to Settlement Services as directed by the Director of Settlement Services.
Provides support to all Settlement Services Communication
Create and support ongoing standards for all power points and other presentations from the Settlement Team
Support all information related to SLNRC Annual report in relation to IRCC Settlement Funded services
Support staff transition for breaks and lunch hour that allows full access to services for the public.
Ensure support services activities comply with all relevant legislation, professional standards, funding contracts and health and safety standards
Ensure all support service activities operate within the policies, procedures, values and governance structure of the organization
Assist with appropriate recording, collection and maintenance of information and/or files for support services
Ensure copies of manuals and warranties are current and available for staff use.
Assist in preparedness for site inspections, relating to the Joint Health & Safety Committee or other Health and Safety inquires
Support Project Delivery
Participate on committees or at events as requested
Maintain comprehensive inventory and appropriate storage of existing, new and items (equipment, food, promotional items and supplies)
Pick up equipment, donations, and supplies as needed with approved budgets
Manage use of our outsourced IT support system in co-operation with the Finance/HR Manager
Performs and Adheres to the Administration Requirements
Ensure SLNRC Settlement Services employee reporting template for sick time and vacation time are implemented with Day Off system.
Manage quarterly compliance and ensure year end completion of vacation time are being dissimilated where appropriate.
Models appropriate behavior for co-workers and residents
Maintains confidentiality of clients, agency and co-worker information
Adheres to the mission, vision and values of the agency
Follows agency policies and procedures.
When appropriate research legislation changes as they apply to our service delivery and policies
Qualifications:
Completed post-secondary education in a related discipline
Experience in administration (in social service field preferred)
Strong verbal and written communication skills
Highly motivated and a self- starter
Ability to work independently and as an effective team member
Responsible, trustworthy, approachable and friendly
Ability to work with a diverse population
Comprehensive knowledge and experience in using Windows, MS Office, Excel, PowerPoint etc.
Provide a current Valid Vulnerable Sector Screening Report
Relievable vehicle, valid driving license and Insurance
