The Ceremonies and Events Office (C&E) advances Simon Fraser University's strategic vision by producing and managing key university celebrations and milestone events including convocation and the university's high-profile presidential, institutional, advancement, alumni, ceremonial, government and partner events. Delivering approximately 70 events annually, locally, nationally and internationally, the department also ensures that ceremony and event protocols and traditions are maintained at events.
About the Role
Supports the activities of the Ceremonies & Events department by providing accurate and consistent data reports and correspondence for the University's high-profile events using Blackbaud CRM and/or Access databases. Responds to event enquiries from alumni, donors, government partners, and internal/external stakeholders by phone and email. Researches and collects information, and develops mailing lists and reports for each event; processes event registrations and payments; and reconciles accounts following the events. Maintains event databases for multiple special events annually. Advises Event Managers on data irregularities and makes recommendations on appropriate registration systems to implement for special events. Attends events to provide on-site guest services; managing the registration table; and assisting in overall event support. Maintains notes and records of data statistics for each event for future reference. Prioritizes daily workload to meet deadlines for multiple ongoing tasks/projects and events.
Qualifications
High school graduation and one year of post-secondary education or formal program equivalent with courses in database, word processing, and spreadsheet applications, and office procedures. Minimum 3 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • 55 wpm keyboarding with a high degree of accuracy.
  • Good knowledge of an academic environment.
  • Ability to use database, word processing, presentation, and spreadsheet applications (e.g., Access, Excel, Word, PowerPoint) at an intermediate level.
  • Ability to use Customer Relationship Management (CRM) applications (i.e., Blackbaud CRM, FileMaker, Razor's Edge, etc.) at an intermediate level.
  • Ability to use content management, desktop publishing, and photo editing software applications (e.g., AEM, MS Publisher, Photoshop) at an intermediate level.
  • Excellent ability to solve complex problems independently using judgment, analytical reasoning and critical thinking to find appropriate solutions.
