POSITION SUMMARY:
The Data and Administrative Coordinator is responsible for managing organizational data and providing administrative support to ensure smooth operations and accurate data reporting. This role will focus on data collection, management, and reporting, as well as supporting administrative processes that enhance program delivery and organizational efficiency.
The ideal candidate will have a strong attention to detail, excellent organizational skills, and the ability to work collaboratively across departments to ensure data accuracy, integrity, and accessibility.
RESPONSIBILITIES:
Data Management & Reporting
Support data collection, entry, storage, and reporting of program and organizational data
Clean, standardize, and validate datasets to ensure accuracy and completeness
Assist in data migration projects, ensuring seamless transitions between legacy and new systems
Develop and maintain data tracking systems and dashboards to monitor performance and trends
Prepare regular data reports for internal and external stakeholders, including funders and the Board of Directors
Ensure compliance with data security, privacy policies, and confidentiality standards
Support staff in using databases and reporting tools effectively, offering guidance and basic troubleshooting as needed
Administrative Support
Support in maintaining office, building and vendor management systems including office inventory and equipment
Maintain organized digital and physical filing systems for data, reports, and related documentation
Schedule and coordinate meetings, prepare agendas, and take meeting notes when required
Support the preparation of materials for funders, reports, and audits
Assist with internal communications related to data processes and deadlines
Collaboration & Continuous Improvement
Work with program teams to streamline data collection processes and improve efficiency
Identify gaps or inconsistencies in data and recommend solutions to enhance accuracy
Participate in internal projects aimed at improving data systems and administrative workflows

QUALIFICATIONS:
Post-secondary education in Data Management, Information Systems, Business Administration, or a related field
Minimum 2 years of experience in data management, database administration, or reporting
Experience working in a non-profit or social services environment is an asset
Knowledge of data governance principles and reporting requirements for community organizations
Proficiency in Microsoft Office Suite, especially Excel
Experience with databases, reporting tools, or data visualization software (e.g., Power BI)
Familiarity with electronic medical record systems or case management systems is an asset
Strong attention to detail and problem-solving skills
Excellent organizational and time management abilities
Effective written and verbal communication skills
Ability to work independently and collaboratively with diverse teams
Understanding of privacy regulations and ethical considerations related to data

This position works in the office and community. Sistering is a 24/7 operation, fast paced, intense environment.
