Position Overview
The Client Service Representative (CSR) is often the first and last point of contact for our clients. This role requires professionalism, empathy, strong communication skills, and the ability to multitask in a fast-paced environment. The CSR supports our veterinarians and technical team by ensuring smooth client flow, accurate information gathering, and excellent customer service.
Key Responsibilities
Warmly greet clients in person and over the phone; create a welcoming atmosphere.
Schedule appointments efficiently and accurately based on medical urgency and clinic guidelines.
Triage incoming calls appropriately by gathering relevant details and looping in RVTs/tech staff when needed.
Check clients in and out, process payments, and review treatment plans or estimates.
Maintain accurate medical records and client information in the practice software.
Communicate clearly with clients regarding policies, reminders, follow-ups, medication pick-ups, and preventive care.
Assist with managing email, voicemail, and digital communications.
Support the team during busy periods with flexibility and a positive attitude.
Uphold clinic standards for professionalism, confidentiality, and client experience.
Qualifications
Previous customer service experience required (veterinary setting an asset).
Strong communication skills with the ability to show empathy and remain calm under pressure.
Excellent multitasking, organization, and attention to detail.
Comfortable working with computers, scheduling systems, and point-of-sale processes.
Ability to learn veterinary terminology and protocols.
Reliable, punctual, and able to work a mix of days, evenings, and occasional weekends.
