Role Overview:

As a Customer Service Representative, you\'ll serve as a cornerstone in delivering efficient, top-notch service to our valued clientele, both internal and external. Your responsibilities encompass handling customer inquiries and orders, orchestrating seamless coordination with various departments, and ensuring meticulous record-keeping.

Key Responsibilities:

1. Exemplary Customer Service:

- Promptly address customer inquiries.

- Efficiently receive, document, confirm, and process complex chemical orders.

- Ensure accurate and timely order entry while providing real-time updates on service progress, timelines, potential delays, and cost estimates.

- Collaborate closely with Sales, Accounting, Logistics, and Purchasing teams to swiftly resolve issues.

- Furnish timely responses to customer queries regarding product details, sales quotations, order status, and shipment tracking.

- Maintain meticulous records within our system

- Allocate inventory materials as needed to fulfill customer orders.

2. Supporting Sales and Other Functions:

- Act as a crucial liaison between external Sales Representatives and our warehouse teams.

- Investigate and proficiently resolve reported order discrepancies.

- Serve as a point of contact with home office personnel on behalf of Sales Representatives.

- Coordinate with our Logistics team to arrange seamless shipments.

- Address credit-related matters in collaboration with the Accounting Department.

- Collaborate closely with the Commercial team concerning pricing and product availability.

- Keep the Purchasing team informed about Purchase Orders.

- Foster continuous communication with Sales and various departments to ensure enduring customer satisfaction.

3. Additional Responsibilities:

- Undertake special projects as assigned by the Customer Service Supervisor.

- Monitor open orders on a daily basis.

- Proactively send Certificates of Analysis prior to material receipt.

- Identify and spearhead operational process enhancements.

Requirements:

- Strong customer service and office administrative skills

- Basic knowledge in computer software programs and office equipment

- Ability to exude confidence, knowledge, and empathy when interacting with internal and external partners and clients/customers

- Adeptness in Issue Purchase

- Foundational knowledge in Enter Purchase

- Background working with Purchasing Activities

- Customer Specifications experience desired

- Earlier work involving Inbound Shipments

- Prior experience with Direct-Customer-Facing

- Customer Support experience required

- Adeptness in Customer Quotes

- Knowledge of order entry

- Demonstrated knowledge of Customer Satisfaction

- Customer Shipments experience highly desired

- Previous experience working with Resolve Customer Complaints

- Generate Purchase experience highly desired

- General familiarity with customer invoices

- External Customers experience preferred

- Comprehension of Resolve Customer Service

- Order entry experience

- Practical knowledge of Customer Contracts

- Good understanding of International Shipments

- Resolve Customer Issues experience highly valued

- Experience with Superior Customer Service

- Purchase Orders experience highly preferred

- Practical knowledge of Purchase Agreements

- Hands-on experience with Internal Customers

- General familiarity with Process Purchase Requisitions

- Demonstrated knowledge of Process Purchase

- Foundational knowledge in customer service

- Strong familiarity with Customer Transaction

- Proven experience going the extra mile to solve complex customer inquiries via extensive research

- 2+ years\' experience of demonstrated performance in a goal-driven & customer-focused environment preferred

- Familiarity with Customer Relationship Management (CRM) systems

- Excellent communication skills (written and verbal)
