The Customer Service Representative role is key to supporting our growing Western Canada teams and delivering a top-notch customer experience. From order entry and logistics to invoicing and vendor payments, you'll help keep our operations running smoothly and efficiently. By supporting inside sales, managing inventory, and ensuring pricing accuracy, you'll play a hands-on role in driving accountability and responsiveness. As a central link between customers, suppliers, manufacturers, and internal teams, you'll be instrumental in helping us deliver quality, care, and excellence across the Western agricultural market.
Working with us:
This is a permanent, full-time position operating out of our production facility located at 27090 Gloucester Way Unit 109,Langley, BC. The regular working hours for this position are Monday to Friday 8:00am-5:00pm with a one-hour unpaid lunch break.
What you'll do:
Customer Order Management
Initiate customer calls to confirm orders and schedule them in Google Calendar (to be transitioned into ERP system).
Enter confirmed orders into the ERP system once implemented.
Logistics & Fulfillment
Coordinate order load planning and schedule shipping with designated carriers, including third-party Toll Manufacturers.
Ensure timely and accurate invoicing of all shipped orders.
Accounts Payable (Full Cycle)
Manage full-cycle accounts payable, including batching, matching, and coding vendor invoices.
Process payments by receiving, verifying, and reconciling invoices in accordance with company policies.
Execute semi-monthly cheque runs and initiate outgoing vendor payments in compliance with internal procedures.
Reconcile vendor accounts and monthly statements, identifying and investigating discrepancies as needed.
Monitor and reconcile the Inventory Payable Clearing Account in Sage.
Financial Recordkeeping & Compliance
Maintain accurate and organized digital records of invoices, receipts, reports, and cheques on the company network.
Issue timely and accurate customer statements and invoices.
Inventory & Pricing Support
Track premix inventory levels at partner mills and report variances as required.
Support monthly inventory count procedures and assist with month-end processes.
Monitor ingredient pricing and communicate monthly changes to the Pricing team.
Maintain up-to-date pricing lists for the sales team.
Review and verify profit margins on invoiced orders to ensure pricing accuracy.
Customer Service & Quality Control
Log customer complaints, investigate root causes, and follow through to resolution.
Reporting & Administrative Support
Prepare ad hoc reports as requested by Sales Managers and Accounting.
Support Production Manager and Quality Assurance Manager in maintaining accurate documentation for the FeedAssure program.
Your background includes:
3+ years of experience in an inside sales, customer service, or related role
Diploma or post-secondary education in Accounting, Business Administration, or a related field is preferred.
Strong attention to detail, organizational abilities, and proven problem-solving skills
Technologically proficient, with advanced skills in Microsoft Office Suite (Excel, Word, Outlook) and the ability to quickly adapt to new systems and tools.
Exceptional interpersonal, verbal, and written communication skills, with the ability to communicate effectively across departments and with external stakeholders.
A true passion for agriculture and knowledge of livestock industry is preferable
Self-starter, with flexible and positive attitude
Able to work as part of the team
