As we continue to grow and enhance our services, we are seeking a motivated Customer Service Representative to help maintain excellent communication with residents, families, and staff.
Position Summary
As a Customer Service Representative, you will play a key role in fostering positive relationships between the nursing centre, residents, their families, and external stakeholders. You'll be the first point of contact for inquiries, concerns, and requests--ensuring they are handled promptly, professionally, and with empathy.
Key Responsibilities
Act as primary point of contact (in person, by phone, email) for residents, family members, and external contacts
Respond to general inquiries, provide information about services, policies, and schedules
Receive, document, track, and follow up on complaints, concerns, or requests--ensuring resolution in a timely manner
Escalate complex or sensitive matters to management or appropriate departments
Maintain accurate records of communications, service requests, and resolutions using our database or CRM system
Collaborate with nursing, administrative, and care teams to ensure coordinated responses and consistent messaging
Prepare routine correspondence, memos, and notices for distribution
Assist with scheduling appointments or meetings between families and staff when requested
Support reception backup duties, such as greeting visitors, directing calls, and general administrative support as needed
Promote a positive, resident? and family?oriented service culture
Qualifications & Skills
Secondary school diploma or equivalent; post?secondary education or training in communications, administration or related field is an asset
Prior experience (1-2 years) in customer service, client relations, or a healthcare/supportive services setting preferred
Exceptional verbal and written communication skills in English
Strong interpersonal skills: empathetic, patient, able to handle sensitive or emotional situations with tact
Good problem solving and conflict resolution capabilities
Excellent organizational skills, time management, and attention to detail
Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software systems
Ability to maintain confidentiality and professionalism at all times
Flexibility to occasionally adjust hours or provide coverage during peak times or special events
