Position Overview:
The Customer Service & Operations Support Lead reports to the Supply Chain & Quality Assurance Manager, and is responsible for customer service, order entry, production and operations support, data collection, analysis and reporting. As well as other administrative functions within the office.
Key Responsibilities:
Customer Service and Order Processing:
- Handle incoming phone calls, assist with product inquiries, and provide customer support to both Wholesale and Retail customers.
- Accurately input customer orders and process invoices with attention to detail.
- Track and update customer feed prescriptions, including requests from multiple veterinarians.
- Assist with performing formulation updates based on changes provided by nutritionists.
Feed Safety, Regulatory Compliance and Quality Control:
- Supporting the Quality Assurance Manager in ensuring adherence to CFIA and FeedAssure regulations, including preparation and participation in the annual audit process.
-Participate in Health and Safety as member of the Joint H&S committee.
- Assist with processing feed/ingredient samples for laboratory testing and maintaining the annual sampling schedule.
Production and Operations:
- Provide support for production processes and act as the bridge between customers and the production team.
Financial Support:
- Process customer invoices for payment.
- Assist with new customer and supplier account setup.
- Assist with Accounts Payable tasks.
Reporting, Record Keeping and Data Management:
- File necessary production and trucking records.
- File necessary invoice documents for Accounts Payable.
- Assist with operations data collection, analysis and reporting for daily, monthly, and yearly functions.
- perform required reporting and data management for both AHN and CFI divisions.
- Track and report operational costs.
Administration and Office Management:
- Maintain office supply inventory and ensure proper sourcing.
- Greet and assist customers and guests at the Home Office.
- Maintain kitchen and lunchroom spaces.
- Perform general administrative duties as assigned by Supervisory Staff.
Experience and Skills include:
Minimum Post-Secondary Diploma in a relevant field and/or 2-3 years of work experience in customer service and data analytics, preferably in the agriculture sector.
Proficient in Microsoft Office, including Excel, Outlook, and Word
Proficient data entry experience required
Strong customer service and communication skills, ability to handle fast paced order desk processes.
Excellent multi-tasking, organizational, time management and attention to details skills
Strong team player with the ability to assist in other office functions
Ability to prioritize instructions from multiple sources, and follow up with appropriate staff upon completion of tasks
Job Type: Full-time
Pay: $20.00-$22.00 per hour
Expected hours: 40 per week
