Position Overview:Resumes are being accepted for the temporary position of Customer Service Clerk III within Parks, reporting to the Program Manager, Parks Business Services. The successful candidate in this position will, in a multi-tasking environment, demonstrate excellent interpersonal skills in relation to the delivery of high quality customer service for both internal and external clients. The employee will perform as part of a cross-trained administration team.   • Provide excellent and timely customer service to both external and internal customers via telephone, e-mail, in-person, website and radio dispatch which may include customer complaint resolution and information dissemination, providing follow up to inquiries or concerns, processing point-of-sale (POS) sundry sales, permits, registrations, memberships, pass sales and ticket sales.
  • Process service requests using appropriate problem codes and routing in corporate work management software (WAM) and ensure data collection is kept current.
  • Provide business services support to operational teams by processing GIS mapping field updates through corporate work management software (WAM) and create work orders as required.
  • Perform timekeeping administration for Parks staff, which includes timekeeping input, balancing through corporate payroll software (Kronos) and vehicle utilization (WAM) within established timeframes
  • Maintain Parks staff training records, provide training reports, and communicate findings with Parks Leadership team.
  • Provide payroll reports which includes overtime, vacation, and accrual reports (Kronos).
  • Provide attendance reports, communicate updates to Lead Hands, Supervisors, and Manager, as appropriate.
  • Provide business services support which may include data entry, filing, minute taking, document preparation, mail outs, correspondence, meeting agendas, interoffice mail processing for multiple locations, maintain office supplies, and coordination of conference, training, and membership needs, all event/call logging, On-Call schedule updates and support locate program.
  • Provide financial assistance which may include creating and processing requisitions, purchase orders, cost adjustments, receipts in our corporate work management software (WAM), journal entries, miscellaneous accounts receivable invoicing using our financial software (JD Edwards), budget support and monitoring, cash handling and deposits.
  • Provide business services support to City of Guelph program applications, ensuring required documentation and fees are received, provide tracking, reporting, follow up and related administration, as required.
  • Assist in analyzing processes, procedures, operating systems, and work methods, and recommend improvements to enhance efficiencies and effectiveness.
  • Compile information and maintain complex databases used for analysis on financial and statistical performance.
  • Maintain electronic and physical files in accordance with corporate retention policy.
  • Assist with a variety of special projects, initiatives, and/or programs.
  • Perform other related duties as assigned.
Qualifications and requirements
  • Considerable experience related to the duties listed above, normally acquired through the completion of a Grade 12 diploma and 1 - 2 years customer service experience (both in person and over the phone), work order management, timekeeping and data and file management. Candidates with an equivalent combination of education and experience may be considered.
  • A valid Class G driverxe2x80x99s licence with a good driving record. Successful candidates will be required to provide a current driverxe2x80x99s abstract prior to their start date to confirm their licence is held in good standing and that it has not been suspended or revoked under the Highway Traffic Act (HTA) or Criminal Code of Canada in the last 5 years. The City of Guelph will take into consideration the number of demerit points and/or nature of the infractions to determine if it meets our requirements.
  • Work with and maintain sensitive and confidential information.
  • Excellent communications skills with the ability to communicate with all levels of staff, stakeholders, and the general public.
  • Experience with WAM work order management software, Kronos, and JD Edwards and GIS based software.
  • Experience with Microsoft Office (Excel, Word, PowerPoint, Outlook), and other financial and database experience an asset.
  • Must be detail oriented, well organized, and able to manage multiple and changing demands and priorities.
  • Ability to mentor and provide guidance to part time and seasonal staff.
  • Knowledge and ability to understand a range of services and programs, able to problem solve, analyse, and interpret technical and numerical information and research alternatives.
  • Excellent interpersonal skills with the ability to work in a team environment.
Hours of work
35 hours per week, between the hours of 7:00 a.m. and 5:00 p.m., Monday to Friday. To facilitate community outreach programs and to meet operational needs a flexible schedule of seven (7) consecutive hours per day, five (5) days per week will be required with two (2) weeks advance noticePay/Salary
