Job Summary:
We are seeking a reliable and customer-focused
Customer Care Representative (CCR) / Purchasing clerk
to join our distribution team. In this role, you will be the backup contact for customers, responsible for processing orders accurately and efficiently while providing exceptional customer care. You will work closely with internal teams including sales, logistics, and warehouse operations to ensure timely and accurate delivery of products.

Key Responsibilities:
Order Entry & Processing
Accurately input and process customer orders via phone, email, EDI, or online portals.
Verify product availability, pricing, and delivery schedules.
Monitor and track open orders to ensure on-time fulfillment.
Customer Care
Respond promptly to customer inquiries regarding order status, delivery, returns, and general product questions.
Resolve issues or escalate complaints to the appropriate department.
Maintain strong, ongoing relationships with clients to support repeat business.
Coordination & Communication
Coordinate with warehouse and logistics teams to ensure proper handling and shipment of orders.
Communicate delays, backorders, or inventory issues to customers in a timely and professional manner.

Administrative Support
Maintain accurate and up-to-date customer records in the ERP system
Prepare daily reports, invoices, or order confirmations as needed.
Assist in preparing documentation for shipments or returns.
Purchasing Support
Creating P.O.s using inventory history and reports
Submit P.O./s to vendors and follow up as needed
Could lead to other tasks including receiving, cycle counting, etc.
Qualifications:
Strong computer skills incl. Word, Excel, Outlook, etc.
1-3 years of experience in customer service preferred, preferably in a distribution, logistics, or supply chain environment.
Proficiency in order entry systems preferred (e.g., SAGE100, QuickBooks, or similar ERP software).
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to multitask in a fast-paced, deadline-driven environment.
High school diploma or equivalent is the minimum requirement

Working Conditions:
Standard office are 7;30 AM - 4:00 PM Monday - Friday including a 30 min lunch break and two 10 minute breaks
May require occasional physical activity including carrying product up to 50 lb. or 23 kg
