The Role
As a Creative Services Project Manager, you will be the operational backbone for a diverse portfolio of client projects while simultaneously leading our internal process improvement initiatives. Your mission is to ensure flawless project execution for our clients and to continuously refine the systems and procedures our team uses every day. Success in this role is defined by your ability to support the management of projects to successful completion and to be a champion for the evolution of our project management operations.
Some of the things you'll do include;
Client Project Management:
Lead and manage a small portfolio of your own client projects, from large-scale program rebuilds to fast-moving initiatives with tight deadlines.
Dedicate significant time to coordinating high-volume, time-sensitive projects to ensure timelines are consistently met.
Go beyond traditional project management to perform business analysis, contribute to process strategy, and develop requirements documentation.
Serve as a support and backup for other Project Managers, attending client meetings and staying informed on project progress to provide assistance when needed.
Manage recurring monthly projects and plan for future annual cycles.
Internal Operations & Process Improvement:
Support critical month-end financial tasks, including updating and data analysis on monthly reports and project trackers.
Diligently track new projects and invoices throughout the month to ensure accurate financial reporting.
Oversee the entire project lifecycle, from new project setups to detailed closeout reports and data analysis.
Champion continuous improvement by analyzing, developing, and implementing new PM processes.
Investigate and implement new tools, such as AI, to enhance project management efficiency.
Provide system support for our project management software, including testing and rolling out new features, investigating bugs, and performing general maintenance.
Team Support:
Provide mentorship and strategic guidance to other PMs on task organization, client communication strategies, and handling project challenges.
Conduct data analysis on large-scale projects to identify risks and potential mitigation strategies.
The Right Candidate
You have proven experience in a client-facing Project Coordinator or Manager role.
You have exceptional organizational skills with the ability to manage fluctuating workloads and multiple competing priorities.
You are highly detail-oriented, with meticulous attention to accuracy, especially in financial tracking and reporting.
You are a strategic thinker with experience in business analysis, process improvement, and PMO framework ownership.
You have a talent for mentoring others and navigating challenging client communications with a collaborative approach.
You embrace AI and are passionate about leveraging new technologies to improve efficiency.
You are self-motivated and thrive on taking ownership of your responsibilities.
You are a strong and fluent communicator in verbal and written English (C2 minimum).
You have experience using Project Management software (Teamwork would be considered an asset).
PMP certification would be considered an asset.
Experience in eLearning or a creative services agency would be considered an asset.
