Overview



We are seeking a motivated, highly organized and detail-oriented Counsellor/Marketer to join our team. This individual will manage student registration, documentation, payment tracking, pathway coordination, and act as a liaison between agents, students, and internal departments.

Key Responsibilities



Student Registration & Onboarding:

Review student applications and ensure completeness Coordinate early testing and Orientation Day processes Collect, verify, and store student documents (passport, visa, study permit, insurance) Prepare and distribute Letters of Acceptance (LOAs) and receipts Assist with airport transfers (pick-ups/drop-offs) when required.
Student Support & Counselling:

Provide academic guidance and personalized support to students, including Pathway Program advising. Solving miscommunication problems between students. Lead information sessions, resolve communication barriers, and address student inquiries/complaints. Ensure compliance with institutional and partner policies while maintaining program consistency. Offer after-hours emergency assistance when required.
Marketing & Promotions:

Analyze market trends and develop promotional strategies. Promote the school through media, networking, and agency partnerships. Create and distribute marketing materials for education fairs and promotional campaigns. Manage online platforms to engage with students and agencies. Update testimonials, program details, and promotional offers. Attend weekly meetings and share insights on market trends. Taking part in education fairs as needed. Finding new local and international agencies to connect with. Updating the agency list with new contacts and commission rates.
Agency Relations:

Establish and maintain relationships with local and international agencies. Communicate with agencies regarding student placements, commissions, promotions, application status, documentation, and payments Regularly update the agency list with new contacts and commission structures. Coordinate special requests and accommodations for agency visitors.
Administrative & Payment Manaegment Duties:

Generate and oversee student estimates/invoices, track payments, and follow up with agents/students. Maintain accurate payment records and liaise with the finance team. Review cancellation lists and report updates to the Admin Manager. Manage physical/digital student records in compliance with company protocols. Collaborate with staff on student status changes and documentation. Attend weekly meetings and share insights on market trends.
Events & Business Development:

Participate in education fairs and networking events. Identify and engage new local and international agency partners. Travel for business purposes when required. Assist in planning and executing orientation day activities.

Qualifications



Post-secondary education in business administration, education, marketing or a related field 2+ years of administrative or marketing experience (preferably in an education setting) Exceptional organizational and time-management skills Strong oral and written communication Excellent interpersonal abilities Familiarity with the Ontario high school system and ESL programs is an asset Proficiency in MS Office and Google Workspace; experience with shared drives Be fluent in

English

and one of the languages listed:

Japanese, Portuguese, or Spanish
