As our cosmetic department continues to grow, we are seeking an
experienced Cosmetic Administrative Coordinator
to support cosmetic operations, patient communication, and clinic flow.
About the Role
This position is
cosmetic-focused
and best suited for someone with prior experience in an aesthetic clinic, medical office, cosmetic sales, or high-end front desk environment.
The Cosmetic Administrative Coordinator plays a key role in patient experience, cosmetic scheduling, treatment follow-ups, and sales support, while also assisting with medical clinic coverage when needed. This role works directly with the Cosmetic Director and Cosmetic Technicians to support cosmetic operations and deliver a seamless, high-quality experience for our patients.
Key Responsibilities
Cosmetic Administration & Scheduling
Manage cosmetic bookings via phone, email, text, and online platforms. Our clinic uses Zenoti platform.
Actively optimize cosmetic schedules to maximize efficiency and treatment completion
Confirm appointments and prepare patients prior to treatment
Coordinate follow-ups and multi-session treatment plans
Manage cosmetic patient inquiries with professionalism and confidence
Patient Experience & Sales Support
Provide high-touch, concierge-level service for cosmetic patients
Support consultation follow-ups and assist with booking treatment plans
Confidently discuss cosmetic services, skincare, and pricing
Support cosmetic promotions and patient outreach initiatives
Clinic & Systems Support
Maintain accurate patient records in Accuro EMR and Zenoti
Upload patient photos and documentation
Assist doctors during cosmetic clinic days in a hands-on capacity, including procedure support, clinical photography, documentation, and patient assistance. Candidates must be comfortable working around needles, blood, and cosmetic treatments.
Provide front desk coverage and assist with medical scheduling as needed
Ensure cosmetic rooms and inventory are organized and prepared
Ideal Candidate
Minimum 1-2 years experience in a cosmetic clinic, medical office, aesthetic clinic, or high-end front desk or sales environment
Strong background in patient service, client relations, or sales
Confident communicator with professional phone and in-person presence
Highly organized, detail-oriented, and proactive
Comfortable working in a fast-paced, high-volume clinic
Experience with Accuro EMR, Zenoti, or similar systems is an asset
Interest in aesthetics, skincare, and cosmetic treatments
Candidates with experience in medical aesthetics, dermatology, plastic surgery, luxury retail, or hospitality are strongly encouraged to apply.
